We are looking to recruit an Administration Assistant to join our busy HR team.

The role will be part time for 20 hours a week preferably worked over 4 or 5 days.

The main purpose and summary of the role is to provide administrative support to Personnel and Training services with particular reference to the processing of invoices and the Business Mobility Scheme.

Some of the general duties are as follows:

  • To ensure all invoices are processed and paid on time, to maintain appropriate records and provide budgetary information as requested.
  • To assist with the updating, maintenance and reporting of information on the integrated HR/Payroll management system.
  • To be responsible for the delivery of induction training for new startes.
  • Working with the Personnel and Training Manager to be responsible for the administration of training courses as required.

To take responsibility for the administration of the Business Mobility Scheme by:

  • Liasing with staff, lease car companies and insurance companies regarding accidents, breakdowns and collection of lease cars and lease extensions
  • Ensuring that records are accurately maintained and accidents, orders, tax discs, insurance forms and allowance applications are promptly and accurately processed.

To assist with the recruitment and selection process by:

  • The placing and circulation ofrecruitment adverts and preparation of recruitment information packs, ensuring that all information is correct and up-to-date.
  • Assisting with interviewing process as required.

Role Specification

You will need to be educated to an GCSE level standard or equivalent and previous experience in office administration, book keeping and basic accounting would be an advantage, in addition to experience of working in a Personnel and Training environment and experience of using HR/Payroll Management system.

Your skills will include experience in Microsoft Outlook, Word and Excel, and you will be able to manage and interpret numeric data, as well as be able to build and run reports using specialist reporting.
