Location:Business Administration Service - Supporting the South Area Team, Children’s Social Care 

We are looking for a Business Administrator to work part-time within Business Administration for the South Locality Children’s Social Care Team.

The Support team provide a proactive administrative support service to a team of 25 Social work professionals who all work with children and families known to Children’s Social care. This team works consistently under pressure and Business Administration Team play a vital role in working with them to achieve successful outcomes. The Business Administration Team is the first point of contact for many service users/carers and they must demonstrate that they are proactive, organised and efficient in dealing with challenging demands in an active environment.

There will be a variety of skills to undertake, including the following:

  • dealing directly with services users including parents, guardians, foster carers and other professionals by telephone; answering high volumes of calls/message taking & sign-posting
  • using and assisting with data entry on to the electronic document system (RAISE) for Social Care
  • providing some minute taking cover during times of leave of absence of the designated minute taker and type confidential reports and other client related documentation within tight service level agreed timescales
  • taking shared responsibility for dealing with ordering and dealing with incoming invoices in respect of services or goods used in the team
  • taking shared responsibility for opening post, preparing documents for scanning on to RAISE, scanning and indexing
  • assisting with arranging Travel Warrants and dealing with general maintenance enquiries relating to office equipment.

You will need to be able to demonstrate:

  • good IT skills (Word & Excel) and be a competent typist
  • the ability to organise and prioritise work and meet pre-determined deadlines
  • excellent demonstrable interpersonal skills
  • an understanding of strict confidentiality and professional boundaries with clients
  • the ability to work as part of a team and working on your own initiative
  • the ability to remain impartial when sensitively dealing with potentially distressed clients
  • the ability to remain calm and professional in this fast paced environment
  • a commitment and experience of providing a high standard of customer service both to service users and to supported teams.
