Camden issues thousands of purchase orders a month to pay for home care for its customers.
In a small but significant proportion of cases, the invoices received from providers will vary from the purchase orders issued.
It is important that these variations are reconciled quickly and accurately to allow payment in line with the Council’s commitments. We now have a vacancy for an organised and capable individual to take on the role.
The postholder will combine an ability to work to tight deadlines and precise procedures with an approachable manner and a skill in building constructive working relationships with a range of internal and external stakeholders.
The role will require a detailed knowledge of a range of IT systems including Frameworki and experience of the assessment and planning processes in Adult Social Care. Understanding of payments processes would also be an asset.
To follow a clear process, operating on a monthly cycle, to:
· identify invoices that vary from purchase orders issued
· to liaise with providers and care managers in writing and by phone to establish the reasons for the variation
· to arrange for the correction of purchase orders (where applicable)and the revision of commitment information on purchasing episodes on Frameworki
· to clear invoices for payment (where applicable)
We would like the postholder to contribute to the development of options for a simpler payments process that reduces the likelihood of variations occurring. This will require the skill to plan strategically and analyse the pros and cons of a range of procurement models.
Key Requirements:
- To communicate effectively verbally and in writing with a range of stakeholders with varying perspectives and levels of understanding of the process
- Ability to work at directorate level to deliver invoice variation reports and develop and share analysis of the impact invoice variation may have on ASC budgets.
- Ability to use Frameworki to a high standard of proficiency and to quickly develop an understanding of wider IT applications (including Infoview and EU Supply)
- Experience of working in an Adult Social Care service
