Job description

We have our own goals for the coming years. And, with the help of our Personal Assistant and administrative support team, we're ready to achieve them. This team is the vital link between our daily tasks and our future vision, expertly managing resources and supporting key stakeholders. They provide a consistently attentive day-to-day service that keeps our organisation meeting its targets and goals.

Keep our operations running smoothly and securely

Providing business and office support to the Digital Workspace team, your main responsibilities will include maintaining team records and FCDO Services systems.

As the team’s contact point, you’ll reply to a range of emails, calls and requests. Becoming a ‘go to’ person for responsive, reliable assistance. Maintaining the team mailbox, you’ll also allocate emails or Service Now tasks to colleagues when appropriate.

In this varied role, you’ll also be involved in organising meetings and taking meeting notes, producing and distributing documents, and maintaining stationery and equipment stores. Acting as an asset administrator, collating business and management information for returns and reports. Here, your accuracy and attention to detail will be vital as you help maintain the integrity and safety of information. Building collaborative relationships with internal and external customers, whilst also working with the wider business to arrange logistics, resolve issues and improve processes.

Use your organisational skills to help defend the UK’s global interests

With experience of working with customers and stakeholders, you’ll bring the ability to plan your own work to meet deadlines. Ideally, skilled in working with the Microsoft Office365 suite.

If you have experience of data gathering and reporting, or creating operational process documentation, that would be a plus. Knowledge of the Information Technology Infrastructure Library (ITIL) environment is desirable too. This isn’t essential though. What’s more important is your willingness to learn.
