If the answer is yes, then we are looking for an enthusiastic and motivated Administrative Officer (AO) to join our encouraging and welcoming team of dedicated military and civilian healthcare professionals and administrative staff working within the Defence Mental Health Network (DMHN) Southwest (SW) based at HMS Drake.

The vacant post is part time working 32 hours per week. Requests to work flexibly and/or part time will be considered, taking into account business needs.

Job description

The post holder will be responsible for providing a high standard of administrative support to the Defence Mental Health Network (DMHN) Southwest (SW). The Administrative Officer (AO) will work to the direction of the Executive Officer (EO) Practice Manager to support the clinical staff based within the Defence Mental Health Network (DMHN) Southwest (SW). You will be responsible for all administrative requirements for both new and current patient caseloads which includes liaison with other Medical Centres and outside agencies. You will be responsible for managing clinical diaries and clinics, answering telephone queries, dealing with Subject Access Requests (SARs), dealing with the post, and sending and receiving emails. You will be responsible for providing cover for the Executive Officer (EO) Practice Manager in their absence.

Person specification

The duties and responsibilities of the role include, but are not limited to:

  • Medical administration including managing new referrals in accordance with the Key Performance Indicators (KPIs), adding patients to waiting lists and allocating patients for treatment.
  • Answering the office telephones, dealing with queries within own area of expertise and taking accurate messages as appropriate.
  • Administering the Group Mailbox, sifting and circulating relevant communications and updating the group calendar with staff whereabouts/events.
  • Managing and overseeing work of Administration Assistant (AA) in routine administrative functions including time management, diary appointments and schedules to maximise efficient patient healthcare by the DCMH.
