HMPPS Band 5

The SCS Support Team is based in the Strategy, Evidence and Corporate Services team within HM Prison and Probation’s Strategy, Performance and Corporate Delivery Directorate.

The post holder will provide Business Management support to one of the following HMPPS HQ Directorates:

· Rehabilitation & Change Directorate

· Transforming Delivery Directorate

· Strategy Performance & Standards Directorate

· Capacity Implementation Directorate

· Prison Supply Directorate

Responsibilities, Activities & Duties

This is a varied and rewarding role underpinned by routine activities, well suited to someone who is organised, proactive, enjoys working at pace and is a self-starter.

You’ll be required to identify key stakeholders at pace, on the understanding that building genuine relationships quickly will support you in delivering your role to a high standard. Additionally, it is key to learn your directorates priorities and strategic aims in order to provide strategic support to the Deputy director and their leadership team.

You will need to be flexible in your approach, providing proactive support to the Director, adjusting priorities and ways of working to meet changing business needs while maintaining high standards of delivery.

Routine activities include:

· Mailbox management.

· Booking travel.

· Diary management.

· Bringing stakeholders together to discuss priorities.

· Organising Senior leadership meetings / away days.

· Monitoring resource utilisation / workforce planning returns.

· Responsibility for completing or coordinating commissions and routine reporting.

· Working with stakeholders and team members to ensure accurate reporting and information flows to support successful achievement of project / programme objectives.

· Provide appropriate support to the Senior Business manager when required.

· Provide leave cover for SCS support staff within your own directorate and across HQ where required.

Person Specification:

· You will be a natural communicator with excellent verbal and written skills, with the ability express yourself confidently and concisely.

· You will be confident in communicating with and on behalf of Senior Civil Servants.

· You can build rapport quickly with both internal and external stakeholders which enables you to create solid working relationships.

· You are a highly resilient person who handles change well and naturally adapts to changing workloads and environments.

· You have experience balancing priorities and dealing with ambiguity and enjoy having autonomy in your role, taking the lead organising and prioritising tasks, being a confident, efficient and an independent thinker.

Desirable Criteria:

· Previous experience of Private Offices, Business Management, Project Management including working closely with senior stakeholders.
