Job summary
From time to time, a criminal case ends with a wrongful conviction or sentence – there might not have been a crime at all, the wrong person might have been convicted, or the process might have failed so significantly that the conviction is unsafe.
The Business Services team is a small team that manages a lot of the administration functions for the Commission. We deal with reception, incoming and outgoing post, scanning of post and applications from those seeking a review of their conviction and the sending of application packs. We also manage travel and accommodation bookings, couriers and stationery.
We are looking for an enthusiastic, adaptable and self-starting person to join the team on a permanent basis. The successful candidate will be friendly, approachable and comfortable in a multi function role.
This is an office-based role in central Birmingham.

Job description
Role Purpose
To provide flexible and responsive administrative support across all functions within Business Information Services. It is an integral part of Business Information Services and covers a range of tasks across all the business support areas including reception and records management.
Key Responsibilities & Tasks
General
- Scan incoming post, documents and routine case material, including preparation, profiling, electronic routing and filing.
- Deal with ad hoc scanning requests in an efficient and timely manner.
- Various administrative duties including faxing, shredding, photocopying (e.g. committee bundles, as required.
- Triage incoming e-mails to the Info box, forwarding as appropriate.
- Booking travel and accommodation for staff members
- Order stationery and other office supplies when needed
- Manage courier bookings as required.
Reception Duties
- Operate and manage the switchboard, answering all incoming calls in a professional and helpful manner and in accordance with the Commission’s telephone protocol procedures.
- Advise building security staff of all expected visitors and ensure that all visitors to the Commission have the appropriate authority and security pass
- Maintain a mailing database and mail information packs and other literature
- Assist with difficult callers utilising excellent communication skills, tone and manner to diffuse potentially volatile situations.
Records Management
- Assist with processing public body documents in accordance with established guidelines and procedures where required
- Process and manage off-site storage activity as required
- Ensure that full and accurate audit trails are maintained for all material handled by the Commission, including classified material and exhibits. Act upon the recommendations of any external or internal audits
Post
- Responsibility for the Commission’s incoming and outgoing post operations, including post opening and dispatch, franking of outgoing mail and organising special and controlled deliveries in accordance with correct procedure.
- With the DRO, identify and implement developments and improvements to processes and procedures to maximise the effectiveness of the post operation.
- Escalate problems with both incoming and outgoing post with the necessary points of contact, in liaison with the Facilities Adviser.

- Print, collate and post responses to Subject Access Requests where sending hard copy

Person specification
Essential Criteria:
- Educated to at least GCSE standard or equivalent, with a minimum of 5 passes at C or above (or equivalent) including English Language and Maths. Or having experience that demonstrates the intellectual ability associated with the educational requirement.
- Previous experience of working in an administrative position, telephony experience essential.
- Ability to establish co-operative and effective working relationship with others
- Ability to follow instructions and work to tight deadlines set by others and self.
- Ability to organise and prioritise workload.
- Well-developed oral and written communication skills
- The ability to speak in a confident manner over the telephone.
- Ability to work on own initiative and without supervision seeking assistance as appropriate.
Qualifications
