Job description

We have an exciting opportunity for four Administrative Officers to join our Centre for International Trade Customer Service Centre. You will provide general administrative support to the Customer Service Centre delivering functions specific to the business unit.

This will involve a wide range of administrative functions including being responsible for and delivering administrative processes and procedures. You will take responsibility for updating information systems, inputting data into databases, liaising with the public and colleagues and providing advice and guidance to them on policies and procedures. You will be expected to provide support to our customers in a wide variety of ways as well as to support the management team.

  • To deliver the core function of the Business Unit in accordance with established time scales, expected delivery levels and performance targets.
  • Ensure accurate records are kept and updated accordingly.
  • Identify efficiencies that could be implemented within your own team or wider business unit and demonstrate an understanding of the need for ongoing improvement to delivery and implementation of change.
  • To understand and identify issues that may affect delivery that require escalation to your Line Manager.
  • To be aware of targets and the quality of work required within your team and work according to those defined standards and performance levels.
  • To be familiar with systems and tools that enable delivery and capture data.

Administration procedures

  • To take responsibility and accountability for the delivery of your workload within a set of defined administrative procedures.
  • Ensure actions are carried out in accordance with the procedures and within the necessary timescales.
  • Provide support and guidance to others, (internally and externally), on procedures.
  • To be a positive role model within the administrative team and to respond positively to challenge and change.

Use of Information Systems

  • Inputting data and information onto the bespoke APHA data capture systems used within your Business Unit ensuring data quality is maintained.
  • Keep records and update files.
  • Releasing and protecting information in accordance with Data Handling requirements and in a professional format.

Customer Service

  • To liaise with, and provide excellent customer service to stakeholders, delivery partners and customers, both internal and external, and to understand and appreciate their needs and requirements. This will be carried both via telephone and email.
  • Respond to requests from the public for information and guidance and provide accurate and timely information to our customers.
  • Update information held on our information systems by liaising with the public to ensure the data we capture about (or for) our customers is accurate.
  • To manage customer expectations and identify areas where the customer experience may be improved both within your team and across the wider unit.
  • To understand and appreciate the impact of written correspondence sent to the customer and ensure information sent is both accurate, timely and polite.

Person specification

We are looking for candidates who can demonstrate the following skills and experience:

  • Experience of using IT, including but not limited to Microsoft packages.
  • Well organised.
  • Positively responds to change.
  • Customer service focused.
  • Accuracy inputting data and collating/filing paperwork.
  • Ability to communicate clearly and effectively both verbally and in writing.
  • Proactive in their approach to work.

Stage 1

Application Process

As part of the application process, you will be asked to complete:

CV Guidance

Your CV should consist of your career history, including any key achievements and your main responsibilities in each role and be no longer than 2 pages. Your CV will be used to provide further context on your Personal Statement and scored against the essential criteria.

Personal Statement Guidance

When completing your Personal Statement, please read and understand the Person Specification thoroughly, as this is what your written evidence will be assessed against. Please ensure you evidence the key personal qualities and experiences that align with the criteria. Consider the Person Specification and look to demonstrate how your previous experience may align with the expectations and be applicable to the role. The written evidence you provide must relate to your own experiences. Your layout is entirely your preference; you may choose narrative, bullets, etc.


We encourage you to use the full 500-word allowance of the Personal Statement but not to exceed.
You may choose to address each criteria separately, however, one narrative example may cover and evidence several criteria.

Stage 2

Preparing for the interview

During the interview you will be assessed based on:

  • the Behaviours specified in the Job Advert, following the Behaviour criteria outlined in the Success Profiles: Civil Service behaviours - GOV.UK framework for AO positions.
  • A selection of Strength based questions related to the role requirements. Following the Success Profiles: Strengths - GOV.UK framework. There is no expectation or requirement for you to prepare for the strengths-based questions in advance of the interview, though you may find it helpful to spend some time reflecting on what you enjoy doing and what you do well.
  • Your previous experiences relevant to the role requirements outlined in the advert following the Success Profiles: Experience - GOV.UK framework.

Interviews will be conducted via MS Teams, and a link will be provided in your interview invitation.

The interview

The interview will follow a blended approach and will last approximately 45 minutes.

A blended interview aims to be more of a conversation at interview, offering a more inclusive approach.

The Strength and Behaviour based questioning explores what the candidate can and has done, but also their potential.

Behavioural questions will explore what you have done in previous jobs or experiences as well as what you have achieved and/or learned.

Strength questions will explore what you enjoy and your motivations relevant to the job role.

After the interview

Once all the interviews have been conducted, candidates will be notified of the outcome by email. If you are successful at the interview stage, we will be in touch to offer you a role. Offers will be made in merit order by location.

Reserve List

Merit Lists

Where more than one location is advertised, candidates will be posted in merit order by location. You will be asked to state your location preference on your application.

The FTA contract is for 12 months but are advertised with the possibility of extension or permanency. The permanent posts will be offered to the highest scoring candidates.

Salary

New entrants are expected to start on the minimum of the pay band.

Location

As part of the pre-employment process for this post, successful candidate(s) will be able to agree a contractual workplace from those locations listed in this advert. The agreed contractual workplace is then the substantive and permanent place of work for the successful candidate(s)

Internal Fraud Database Check

Applicants who are successful at interview will be, as part of pre-employment screening subject to a check on the Internal Fraud Database (IFD). Loan and Fixed Term Appointments

Existing Civil Servants and applicants from accredited NDPBs are eligible to apply but will only be considered on loan basis (Civil Servants) or secondment (accredited NDPBs). This is a Fixed-term Appointment as an Administrative Officer on the Customer Service Centre International Trade - Plant Health team because the post is permanent and requires temporary cover, for no more than 12 months, whilst permanent recruitment activity has commenced and needs time to complete. The fixed-term will end when the permanent recruitment completes.

Your responsibilities will include those shown on the Responsibilities section of the advert. This post will therefore begin from the agreed start date and end on28/02/27.
