Job description
Veterans Services Veteran Services (VS) is part of the Armed Forces and Veterans Team and is responsible for providing support to the Armed Forces (AF) community through a Triage Service and a network of Case Managers across the UK and Republic of Ireland. We work with the Royal Navy, the British Army, the Royal Air Force, local authorities, voluntary organisations, service charities and OGD’s. The service provides assistance for those transitioning from service to civilian life, advising bereaved families, applying for armed forces compensation, and providing information and guidance on the support available to the AF community. Our Transition services are governed by the MOD’s Holistic Transition Policy as detailed in Joint Service Publication (JSP)100.
Our network of case managers facilitate access to support based on a holistic assessment of each client’s situation covering aspects such as healthcare, accommodation, finances, employment and wellbeing. They provide information and guidance on the Armed Forces Compensation Scheme, war Disablement Pension Scheme and general guidance on Service pensions as well as DWP benefits.
Our Business Management Team (BMT) support VS delivery and business continuity. Monitor and report on VS performance, maintain VS knowledge base, review, and identify additional staff training requirements, utilising statistical data, reporting to management team in line with policy and process.

The Business Management Team (BMT) Coordinator Role
We are looking for an EO to join our small but busy Business Management Team which is based in Norcross who will have responsibility for line management of 1 x AO, the maintenance of VS internal processes ensuring these are standardised across the business area, will provide support and advice to VS and maintain business continuity. The BMT EO is responsible for the development of VS processes ensuring they are both efficient and fit for purpose, performance reporting and co-ordination of knowledge sharing activities and therefore will have confidence and/or familiarity with MS Office applications, including MS Teams, Word, Excel, One Note, Visio and a willingness and aptitude for learning new IT skills. The BMT EO will provide cover and support to the BMT HEO and will at times be required to provide background information from various systems to stakeholders.
Successful applicants will be provided with training to meet the demands of this role and are expected to maintain up to date and relevant skills and training whilst in post, both guided by Civil Service Required Learning and by independently identifying opportunities whilst in post.
We have a national footprint located across the UK and at 5 DBS centres in Kidderminster, Norcross, Gosport, Belfast, and Glasgow. We are recruiting for a Business Management Team Coordinator to be part of our Business Management Team.
The role is based in Norcross, The MOD supports hybrid working with regular attendance expected in the office.
Occasional travel overnight stays are necessary as part of the role to engage, and collaborate with the wider team a valid driving licence will be required. This position is advertised at 37 hours per week.
Business Management Team Coordinator Responsibilities:
Service Delivery
- Produce, review and communicate Veterans Services MI performance reports on a monthly basis, ensuring service delivery is maintained in line with agreed working standards, protocols and Memoranda of Understanding.
- Monitor VS targets on a weekly basis and escalate missed targets for appropriate review.
- Support staff with queries in relation to performance, quality, and service delivery risks.
- Support the development, maintenance and continuous improvement of VS working processes, update current guidance and process flows via Visio with any changes to the business process ensuring these are fit for purpose.
- Communicate and advise staff on VS processes and ways of working and ensure these are adhered to across the business.
- Draft and submit Change Requests to VS processes and ways of working, complete impact assessments, document and communicate amendments as required.
- Complete regular quality checks on Veterans Welfare Computer System (VWCS) to ensure outputs are being recorded in line with agreed standards.
- Support the management of VWCS IT issues, system changes and improvements.
- Maintenance of the People Safe process, including system updates and issuing communication/guidance to staff.
- Collaborate, coordinate and monitor information sharing activities across VS.
- Provide information and updates to staff regarding required learning, facilitating completion within agreed timescales.
- Conduct analyses on VS customer feedback, maintain spreadsheet and identify opportunities for improvement and escalate as required.
- Assist with the organisation of the annual VS staff conference & Invoice via CP&F System.
- Supporting VS management on agreed projects and working groups.
- Covering AO duties during absence.
- Creation and maintenance of VS annual spread sheets for each financial year.
- Management and allocation of VS IT equipment, including additional administrative tasks to ensure the smooth running of VS.
- Organising your workload efficiently, ensuring optimal productivity and cost effectiveness.
- Raising concerns with Line Manager regarding workload management and target achievement.
Line Management
- Line managing BMT AOs in accordance with Civil Service and MOD policies of Line Management, including performance management of staff, and effective management of absences.
- Provide cover for fellow EOs when required.
- Ensure the wellbeing and effective support of all staff through regular check ins and 1-2-1s. Promote and develop a culture of peer support and self-care in the team utilising all VS/DBS/MOD resources such as the Supportive Care Directive, Employee Assistance Programme, Charity for Civil Servants etc.
Collaborative working
- Work closely with EO colleagues within and across teams, to proactively contribute to the provision of a consistent service throughout the UK that operates as a single seamless team through support, advice for colleagues and sharing expertise and experience through defined processes.
- Assist with training, onboarding of new staff as required.
- Other tasks - completing location and subject-matter-expert specific tasks as required and pro-active contribution to Veterans Services project work.
Learning and Development
- Complete MOD Required Learning and that required by DBS/Veterans Services.
- Proactively consider and identify learning opportunities and in conjunction with regular 1-2-1s with Line Manager.
- Keep timely and accurate records of all desired and completed learning and development on MYHR to share with Line Manager.
