The Chief Scientific Adviser (CSA) in the Department of Health and Social Care (DHSC) is one of the most senior positions within the department, and a member of the DHSC’s Leadership Group. The CSA is a Director General (DG) who oversees three directorates: Science, Research and Evidence; the Chief Analyst’s Directorate; and NHSE Innovation, Research and Life Sciences. The CSA is responsible for the DHSC research and development budget of over £1.8billion and she is the CEO of the National Institute for Health and Care Research (NIHR).

Behind every senior manager or company director you’ll find an organised and efficient diary manager to ensure their time is used as effectively as possible and this is no different for the Chief Scientific Adviser (CSA).
The Chief Scientific Adviser’s Private Office is looking for a highly motivated individual to join the small friendly team to provide the CSA with outstanding diary management. This is an excellent opportunity to be centrally involved in the work of a key Department and to learn about the interface between science and policy at a crucial time.
Role Responsibilities:
- The successful post holder will work closely with the CSA, CSA private office, and senior teams within the CSA Group and the Chief Medical Officer’s private office. This post provides an excellent opportunity for anyone wishing to gain insight into how the Department and wider Government works at the highest levels.
- Managing the day-to-day running of the CSA’s diary and ensuring her time is used effectively.
- Being the CSA’s main point of contact for diary organisation.
- Responsible for planning and organising internal and external meetings, telephone calls, video conferences, and working closely with private secretaries on arranging speaking engagements and visits.
- Arranging business travel and accommodation and preparing detailed travel itineraries.
- Leading weekly forward-look discussions on diary commitments with the CSA.
- Maintaining a broad understanding of the CSA’s portfolio and priorities and ensuring that these are reflected in diary commitments.
- Assisting with triaging and managing the CSA’s inbox as well as the private office shared inbox.
- Anticipating and identifying potential problems arising in the diary and working proactively to resolve or minimise disruption.
- Ensuring the CSA receives and has access to all papers and briefings in advance.
- Establishing and maintaining strong relationships with diary managers across DHSC, Whitehall and with external stakeholders.
- Managing the CSA’s expenses and completing quarterly transparency reports in a timely manner.
- Being a first point of contact for visitors meeting the CSA in person and providing a favourable first impression for stakeholders.
Person specification
Essential Criteria:
- Proven experience of diary management and arranging meetings
- Excellent communication skills for a range of stakeholders at all levels, both verbally and in writing.
- Strong organisational skills with the ability to plan and coordinate diary commitments effectively.
- Ability to establish positive, inclusive working relationships and work collaboratively as part of a small team, as well as with colleagues in the wider department.
- Experience of managing conflicting priorities in a fast paced, constantly changing work environment.
- Confidence in working with senior stakeholders, including advising the Chief Scientific Advisor on how best to use their time.
- Resilient and able to remain calm under pressure, maintaining accuracy and professionalism in a fast-paced, reactive environment.
- Proficient in Microsoft Office applications such as Outlook and Teams.
