Job summary

We are recruiting for two roles: a Diary Manager and an Events and Visits Secretary, both of which will be in Private Office at the Department for Education. These are challenging, fast-paced roles which provide a unique opportunity to work in the heart of Government and support the development and delivery of education policies.

Private Office posts involve providing direct support to Ministers or Advisers, managing their time and working closely with senior officials and other Ministerial offices. You will witness and help to shape how Ministers and senior officials make key decisions, as well as gain an understanding of how the Department and wider Government operates.

Job description

Both the Diary Manager and the Events and Visits Secretary are roles which provide first-hand experience of working with Ministers and senior officials. They are a fantastic opportunity to work at the heart of a large Government department.

The Diary Manager will help manage the Minister or Adviser’s time, so they are able to attend key meetings and have time to engage with policy and strategic issues to make decisions. You will have control of the diary, organising and prioritising meetings with stakeholders, commissioning briefings for meetings and events, and developing strong relationships across the Department, including with other Ministerial offices.

As a Diary Manager you will work with a range of internal stakeholders, including members of your own team and the wider department. You will also interact with important external stakeholders such as members of the public, service providers, the media, think tanks or research institutes, local and central government, regulators and international bodies.

The Events and Visits Secretary will work in the Secretary of State's Office to carry out end-to-end organisation of visits for the Secretary of State, coordinating internal teams and external stakeholders to prepare high-value visits and briefings. They will manage external visit invites, triaging high volumes of invites and ensuring timely and high-quality policy advice. Alongside the Head of Visits, they will attend visits to ensure smooth running.

This role also manages sensitive Private Office FOI requests, liaising directly with the Secretary of State and ensuring accurate handling of complex information while maintaining confidentiality and compliance with statutory requirements.

Person specification

Successful applicants will be hardworking and comfortable operating in high-pressure environments. The essential experience criteria are the following:

  • Excellent organisational skills and the ability to prioritise effectively while delivering at pace.
  • Ability to work effectively in a team while showcasing flexibility and adaptability.
  • Ability to establish and maintain relationships with a diverse range of people to deliver shared goals.
  • Excellent written and oral communication skills and the ability to deliver difficult messages.

Desirable:

  • Experience of working in a Private Office.
  • Experience of or understanding of Parliamentary business and processes.

Desirable criteria will only be assessed at interview in the event of a tie break situation to make an informed decision.

Please note due to the nature of the roles, you will be required to work primarily from the London office and take part in a duty rota, be ‘on call’ and work some unsocial hours occasionally including weekends. For this a Private Office Allowance is payable to the successful applicants while in post. Due to the nature of the role, the successful applicants will be expected to attend the office 4 days a week as a minimum requirement.

Travel to your primary office location will not be paid for by DfE, but travel to an office which is not your main location will be covered.

Stage 1: Application

At sift stage, you will be assessed on your Experience in line with the essential criteria listed in the person specification section of the job advert.

Stage 2: Assessment/Interview

The interview will be a 2-part process:

Part 1: Written Assessment, which will take around 30 minutes, and which will test the technical skill of Written Communication. We’ll provide you with the details of the assessment on the day of the interview. to the panel. Please be prepared to answer follow up questions on the written assessment / presentation.

Part 2 - The interview will last approximately 1 hour. You will be asked questions on the Behaviours listed above to determine your level of experience in these areas. We will also ask you Strengths based questions

Terms and conditions of candidates transferring from ALBs and NDPBs

Bodies that are not accredited by the Civil Service Commission and are not able to advertise at Across Government on Civil Service jobs will be treated as external new starters and will come into DfE on modernised terms and conditions with a salary at the band minimum.

Bodies that are accredited by the Civil Service Commission but do not have civil service status will be offered modernised terms and will not have continuous service recognised for leave or sickness benefits. Salaries should be offered at band minimum, but there is some flexibility where this would cause a detriment to the individual.

Bodies that are accredited by the Civil Service Commission and do have Civil Service status will be treated as OGD transfers. Staff appointed on lateral transfer will move on to pre-modernised DfE terms (unless they were on modernised terms in their previous organisation). Staff appointed on promotion will move on to modernised DfE terms. Staff will transfer over on their existing salary (on lateral transfer) and any pay above the DfE pay band maximum will be paid as a mark time allowance. Staff moving on promotion will have their salaries calculated using the principles set out in the attached OGD transfer supplementary information.
