With the exponential increase of information the role of information management is critical to ensure legal compliance and the fair and ethical use of information in evidence driven decision making and artificial intelligence. The Digital Information and Records Management team is located within the Chief Data Office (CDO) in the Science and Analysis Group and reports to the Head of Information Management.

Job description
The Digital Information and Records Management Team (DIRM) is responsible for policy, governance and processes that facilitate the secure and efficient management of digital information and records throughout their lifecycle.
The post holder will play a key role in strengthening and developing Defra’s digital records lifecycle management across all of Defra’s digital platforms, predominantly Microsoft 365.
The role would suit someone with experience in Knowledge, Information and Records management with excellent time management skills and the ability to work in a fast-paced environment. The post holder will need to be confident with using technology such as Microsoft 365.
Use your Information and Records management knowledge to support the Digital Information and Records Managers with information lifecycle processes by completing regular tasks and undertaking projects. Engage with users and stakeholders to provide guidance and support for Information Management best practice.
Person specification
Responsibilities:
Monitoring the central DIRM inbox, dealing with queries from across the department, using problem-solving skills to investigate and resolve user issues. This will include:
- Administrating requests for Microsoft 365 applications, overseeing amendments and supporting with deletions.
- Up-dating DIRM registers as required to maintain an accurate evidence base for Defra’s digital information assets.
- Maintaining and promoting the DIRM knowledge portal, encouraging self management by users.
- Building good working relationships with M365 Information Asset Owners and application owners across the department.
- Complete assigned projects to manage Defra’s digital estate, this will include:
- Supporting Digital Information Management projects.
- Engaging with staff across Defra to assist them in selecting and using the correct repositories for information.
- Investigating repositories that have been identified as non-compliant with DIRM policies.
- Assisting with finding solutions to problems that arise across Defra’s digital estate.
- Assisting Defra staff to understand the records lifecycle, with reference to Defra’s retention schedule.
Support the Digital Information and Records Officers with policy, guidance and secretariate work. This will include:
- Organising user engagement sessions.
- Contributing to the development of policies, processes and guidance by offering expertise and experience.
- Contribute to the development of the DIRM communications strategy.
- Assist with overseeing Information Management requirements in the Joiners and Leavers process.
Experience and skills:
- Experience of working with SharePoint and the M365 suite of tools
- Understanding of knowledge and information management principles
- Good communication skills
- Ability to build relationships with people at all levels and deliver a high-quality service for customers.
- Time management skills, balancing a varied workload and prioritising work.

Salary
New entrants to the Civil Service are expected to start on the minimum of the pay band. The internal roles rules apply to existing Civil Servants, i.e. level transfers move on current salary or the pay range minimum, transfers on promotion move to new pay range minimum or receive 10% increase. Either case is determined by whichever is the highest.
Location
