Job summary
The EA (Executive Assistant) to the DD (Deputy Director) is a pivotal and demanding role within the organisation, playing a key role in helping to advise the DD and deliver our mission statement. The EA will undertake work within the Office of the DD to support work with senior UKHSA staff, the DHSC (Department of Health and Social Care) and colleagues across the organisation and government.
This role will require you to work with senior members of staff some of whom are geographically dispersed. Therefore, some time may be required in the London and other offices.

Executive Assistant Functions
- Supporting the DD through delivery of effective and efficient office duties, including management of diary, and inbox, correspondence, drafting briefings, action management, communications, and portfolio delivery.
- Providing a high standard of secretarial service, with proficiency in using Microsoft Office and able to use a variety of other software to produce complex documentation and presentations accurately and to a high standard. Take dictation as required.
- Prepare agenda and papers, take and transcribe minutes accurately and to a high standard and follow up outstanding actions.
- Support drafts of Parliamentary responses, presentations and correspondence on request.
- Carry out research as required using a variety of sources and present findings.
- Maintain effective records of outgoing communications.
- Act independently on day-to-day issues and to use own judgement within the autonomy and limitations of the post.
Business Support
- Working closely with administrative and support staff within the division and the wider organisation to provide seamless and efficient business support
- Effectively track, record and triage all incoming emails that come into the relevant division inbox. This also involves forwarding them to the relevant people for answers, following up and coordinating everything to ensure replies are given a timely manner.
- Budget monitoring and reporting: compiling and providing business financial and communication information.
- Accurate oversight of relevant budgets
- Processing invoices and purchase orders ensuring that invoices are paid in a timely manner
Promote the adherence to policies and procedures of UKHSA.

The successful candidate will be a self-starter, able to work on their own initiative but clearly able to share appropriate information in a timely manner.

This vacancy will be assessed using a competency-based framework which will assess your qualifications, knowledge and experience and / or skills and abilities outlined in the essential criteria.
Stage 1: Application & Sift

Location
This role is being offered as hybrid working based at any of our Core HQs. We offer great flexible working opportunities at UKHSA and operate using a hybrid working model where business needs allow. This provides us with greater flexibility about how and where we work, to get the best from our workforce. As a hybrid worker, you will be expected to spend a minimum of 60% of your contractual working hours (approximately 3 days a week pro rata, averaged over a month) working at one of UKHSA's core HQs (Birmingham, Leeds, Liverpool, and London).
Our core HQ offices are modern and newly refurbished with excellent city centre transport links and benefit from co-location with other government departments such as the Department for Health and Social Care (DHSC).

Salary Information
If you are successful at interview, and are moving from another government department, NHS, or Local Authority, the relevant starting salary principles for level transfers or promotions will apply. Otherwise, roles are offered at the pay scale minimum for the grade, but in exceptional circumstances there may be flexibility if you are able to demonstrate you are already in receipt of an existing, higher salary. Future location

The new facilities will start becoming operational in the mid-2030s, with full completion by 2038. Staff will move in phases as facilities become available.
