As EA to the Assistant Private Secretary, you'll provide comprehensive executive support that will play a pivotal role in supporting the official work of The King and Queen.
Job description
Key Responsibilities:- Supporting an Assistant Private Secretary, you’ll prioritise and manage requests, coordinate diaries, support meetings, manage travel arrangements and a high volume of calls and incoming correspondence.
- With exposure across the organisation, you’ll liaise daily at a senior level, building relationships with colleagues, government departments and external organisations.
- On a rota basis you’ll support the Duty Private Secretary with Government Duty work: coordinating incoming government papers and requests, liaising with key contacts, and drafting letters, memos, messages and other documents.
- Working with our communications team, you’ll provide logistical support to the Assistant Private Secretary and the Private Secretary’s Office in relation to the planning and execution of Royal engagements across the UK and overseas.
- As part of the Private Office team, you’ll manage emails, draft correspondence and other documents, and help maintain filing systems and archives so that records are organised, accessible and securely managed.
- In this fast-paced and high-profile environment, you'll handle a variety of tasks that require independent initiative and research as well as exceptional teamwork.
- The role will involve spending up to four weeks per year working from other Royal residences and occasional ad hoc travel to support UK engagements or overseas visits. Some extended hours at short notice may be required during busy periods. We appreciate flexibility and will always provide support and notice wherever possible.
Person specification
Essential Criteria:- With relevant PA/secretarial experience, you are used to providing high quality support to senior people.
- Exceptionally organised, you can manage a varied workload, prioritise tasks to meet deadlines and always remain accurate even during busy periods.
- Having had experience of complex diary management, you’re used to pre-empting situations and using good judgement to resolve issues.
- With superb interpersonal and communication skills, you can liaise sensitively, yet confidently, with a diverse range of stakeholders.
- Able to use initiative and judgement, particularly when dealing with correspondence and queries.
- Able to work collaboratively as part of a team, you also thrive independently and can work with minimal direction.
