Job description

The Judicial Office (JO) reports to, and is accountable, to the Lady Chief Justice (LCJ). It was established in 2006 to provide support to the LCJ and to the wider judiciary in upholding the rule of law and in delivering justice impartially, speedily and efficiently, following the Constitutional Reform Act 2005.

In addition, we support, and are accountable to, the Senior President of Tribunals, whose responsibilities extend to Scotland and Northern Ireland.

The JO is an interesting and unique place to work. Everything we do is in support of upholding the independence and impartiality of the judiciary. We work closely with HM Courts & Tribunals Service (HMCTS), the Ministry of Justice (MoJ) and others across Government as well as with the legal professions.

We are an Arm’s Length Body sponsored by the Ministry of Justice. This creates an interesting and complex environment in which to work where we agree our priorities with the senior judiciary and receive our funding to deliver them from the Ministry of Justice. The Judicial Office has been through a period of significant growth resulting from an expansion of our remit and responsibilities.

The CEO’s Office team is a small private office team, sitting centrally in Judicial Office. This role will report into the SEO Business Manager.

The team provides administrative, operational and advisory support to the CEO and the Deputy CEO. Additionally, they provide secretariat support for the Judicial Office Management Board, Shadow Board and People Committee.

This position is eligible for hybrid working (current minimum requirement for time spent at base location is 60%, which is subject to business requirements).

The role provides a unique opportunity to interact with key stakeholders both within the Judicial Office and across the Civil Service. Your role will be integral to the efficient running of the Judicial Office, ensuring that the workloads of two senior civil servants are managed effectively. The role would suit someone with strong organisational and communication skills who enjoys working in a fast-paced environment.

Managed by the Business Manager, this role will sit within the CEO’s office.

This role will provide executive assistant support to the Chief Executive and Deputy Chief Executive of the Judicial Office.

As both principals are based in London and on-site support is required, this role is only available at the Royal Courts of Justice.

Responsibilities and Duties

The job holder will be required to undertake the following duties and responsibilities:

  • Proactively manage diaries, resolving conflicting scheduling requests and ensuring their time is managed efficiently;
  • Rearranging and prioritising engagements, considering the sequencing, cycles and long-term effects of altering appointments in the diary;
  • Corresponding with both Judicial Office officials and those across the Civil Service and beyond on behalf of the principals;
  • Thinking ahead and liaising with colleagues to ensure they have the papers and information they require, and adequate time for reading and consideration;
  • Co-ordinating meetings (including room booking/ensuring appropriate digital arrangements are in place, greeting and escorting of visitors/use of digital lobbies, printing/organising of agenda and meeting papers);
  • Arranging travel and overnight accommodation;
  • Working with the Business Manager to provide wider administrative support to the Chief Executive and the JO management board. Essential Knowledge, Experience and Skills

- Excellent organisational skills with keen attention to detail.

- Ability to work flexibly, manage conflicting demands and swiftly reprioritise so that sudden changes do not adversely impact on delivery.

- Ability to communicate clearly and build effective working relationships with internal/external colleagues/judiciary.

- Strong MS Office skills, including proficiency in the use of Outlook, plus other collaborative tools such as Teams.

Experience of the need to exercise discretion when dealing with confidential matters.

Desirable Knowledge, Experience and Skills

Previous EA/ diary management experience is desirable but not essential
