The Property Team is a small, multi-disciplinary team that works collaboratively across multiple sites to manage facilities operations, health and safety and a broad range of property projects, including expansions, relocations, and fit-outs.

We are recruiting for a Facilities Manager role covering our extensive property portfolio of 18 offices across the United Kingdom and Northern Ireland.

We are looking for candidates with a strong background in Facilities Management who can lead confidently, work effectively under pressure, and use their own initiative.

They will be able to operate in a dynamic, fast paced environment where priorities can change quickly, and adaptability is essential.
The role involves extensive, regular travel across the estate in accordance with planned schedules, together with the flexibility to undertake short-notice travel in response to emerging operational issues.

This is a hybrid position, typically involving a minimum of three days per week in the office; however, attendance is increased in line with business need, and additional on-site presence can be required to meet operational demands.


Job description

The Facilities Manager oversees the day-to-day running of the offices and must be able to build and maintain strong relationships at a senior level. They will collaborate with and influence a wide range of internal and external stakeholders to ensure the smooth and efficient operation of our facilities. This role works alongside a second Facilities Manager based at 2 Marsham Street, London, who focuses on that location, with both roles collaborating to provide support and resilience across the estate as required.

The roles will include, but not be limited to:

  1. Act as the first point of contact for workplace enquiries, managing issues through the Work Place Service system (WPS) and the Property Mailbox ensuring timely resolution or escalation.
  2. Manage relationships with site leads, contractors, and key stakeholders, providing professional advice and ensure effective service delivery across the estate.
  3. Oversee work orders, obtain quotations, purchase orders, authorise invoices, and monitor contractor performance to ensure works are completed to the required standard.
  4. Monitor service levels and identify opportunities to improve efficiency and enhance the customer experience.
  5. Support the delivery of monthly performance reports and other management information.
  6. Undertake regular site visits across the estate and conduct regular office inspections to ensure compliance with lease obligations, statutory requirements, and health and safety standards.
  7. Develop, review, and maintain FM processes, procedures, and guidance.
  8. Act as a system or process champion and contract owner for a specific area e.g. homeworking furniture, sustainability or CAD.
  9. Support facilities projects such as office moves or closures.
  10. Carry out additional duties as required.

Person specification

  1. Experience of facilities management operations, including practices, methodologies, tools and techniques particularly in an office environment.
  2. Minimum IOSH trained; working towards IWFM Level 4 or equivalent FM qualifications and a Health & Safety qualification (e.g., NEBOSH) if not already held.
  3. Excellent customer service, with the ability to build strong internal and external relationships.
  4. Able to manage multiple priorities and monitor progress across workstreams.
  5. Capable of meeting tight deadlines to high quality standards.
  6. Strong written and verbal communication, with the ability to influence at all levels.
