Job summary

The Transactional Services Team covers Accounts Payable, Accounts Receivable, Corporate Credit Cards, Foreign Currency and the Cash and Bank Functions. We are a small but dynamic team who interact with officers across the Agency and external partners on a daily basis.

Job description

Your varied duties mean that every day will bring a new challenge. The often time-critical nature of your activities will mean you must be able to multi-task and prioritise. Business support roles are customer service focused, including providing guidance and advice to colleagues and internal customers. Administration and reporting also make up a high proportion of the day to day work.

Duties and Responsibilities

Providing Business Support: Provide business, administrative, secretarial support to corporate or central service functions as tasked.

Data Analysis: Search, collate and analyse data from multiple sources/ data systems.

Respond to queries: Monitor Email / telephone queries received, and respond appropriately providing advice and escalate if required.

Administration: To provide administrative support to the business. Which may include the preparation of documents, typing and co-ordinating departmental correspondence, arranging meetings, diary management, minute taking, booking accommodation and travel/car reservations, organise events in support of departmental activity.

Acting as a Single Point of Contact (SPoC): Act as the departmental single point of contact (SPOC) in support of team projects.

Building working relationships: Establishing and maintaining positive relationships with both internal and external stakeholders.

Quality Assurance: Carry out effective quality assurance of held data and assist the development of datasets.

Records Management: Maintain accurate and up to date records for management information purposes, using IT systems to record. Including carry out effective file management and ensure compliance with corporate filing/records administration and Agency policy.

Ordering stationery: Ensuring the team and business area have access to stationery and stock is replenished correctly, in line with NCA Policy.

Raising Purchase Orders: Ensuring purchase order requests are processed in a timely manner and raised correctly in line with NCA policy and financial compliance.

Person specification

IT Skills: Ability to confidently work with Microsoft Office as well as learn other applications and programmes as required.

Data Analysis: Ability to extract and interpret data/information.

Customer Service: Understands who the customer is, what they want and need and effectively delivers against those requirements, exceeding expectations where possible.

Organised: Able to plan carefully, keep things tidy and work effectively.

Problem Solving: Using logic and imagination to make sense of a situation and find an intelligent solution.

Communication: Conveys information clearly and effectively through written and verbal communication.

Time Management: Effectively manages time and workload and escalates issues - ensuring tasks are completed to agreed standards and timelines.

Team Work: Works effectively with others to focus on and achieve joint outcomes, rather than individual goals.

Relationship Management: Develops and maintains positive relationships with internal and/or external stakeholders in order to achieve stakeholder needs and business objectives.

New entrants to the NCA receive 26 days annual leave, rising to 31 on completion of 5 years continuous service, plus 8 bank holidays.

Assessment OutcomeOutcomes will be communicated via the NCA recruitment portal.
If successful but no role is immediately available, you may be placed on a reserve list for 12 months.
Reserve lists can be used to fill similar role types across the Agency where the assessment criteria is considered a match by the recruitment team and the business area.
