Job summary

As the HR officer, you will play a key role in delivering a professional, and customer-focused HR service that supports staff and senior stakeholders across the organisation.


You will be at the heart of day to day operations acting as first point of contact within the team for staff enquiries and will be responsible for a range of HR administrative processes, including new starters, probation and absence management.


This is a varied and rewarding position where you will gain valuable experience across multiple HR functions, contribute to maintaining robust systems and records, and help ensure a smooth and supportive experience for employees. Job description

Key tasks:

  • Responding to telephone and team inbox enquiries promptly and efficiently, including queries relating to iTrent (HR system) and Flexi (time reporting).
  • Liaising with various internal and external customers, such as Commission staff and senior officials.
  • Composing clear and accurate correspondence and documentation, including letters confirming contractual changes such as changes of hours, change of post, maternity leave, paternity, new starters, leavers.
  • Processing all associated paperwork for new starters.
  • Ensuring all actions are completed relating to the probation process.
  • Supporting absence management processes, including: fit note monitoring, ensuring absence information on iTrent is accurate, attending all absence meetings and taking forward allocated actions.
  • Providing support to Occupational Health, including monitoring the inbox, booking and arranging appointments.
  • Sending Weekly ‘Keeping in Touch’ emails to those who are currently on career break, secondment, maternity, paternity, those on long term absence etc.
  • Arranging meetings and events in person, including organising hospitality and room bookings, and making arrangements for virtual/hybrid meetings.
  • Providing administrative support for meetings, helping to compile and circulate agendas and papers and acting as a note-taker.
  • Undertaking general administrative duties related to the post and ensuring that all relevant documentation are stored/recorded for audit purposes.
  • Managing records, organising information and maintaining systems for recording and retrieval.
  • Processing purchase orders, the payment of invoices and recording expenditure accordingly.
  • Undertaking duties that are commensurate with the level of the post.

Job Specific criteria:

  1. Excellent IT skills and proficiency in Microsoft Office programmes.
  2. Excellent people and communication skills with a strong customer focus and the ability to handle sensitive and confidential information with care and discretion.
  3. A demonstrable ability to work using your own initiative while using the support and resources available to you.
  4. Excellent accuracy and attention to detail, along with effective organisational and planning skills and the ability to respond quickly to changing demands.

Desirable criteria:

The following qualities are not essential for this particular post but have been deemed as desirable. These will only be taken into account in the event of two (or more) candidates acquiring the same score at either application or interview stage.

  1. Experience or knowledge of using a HR/Payroll system and/or working in a HR environment.
