Job summary
The Information Manager (IM) will develop, implement and continual review and refine BFSAI's information governance. This includes information management strategy as well as policy and process to promote good practice and maintain compliance with statutory obligations. By keeping abreast with legislative changes both within the UK and the South Atlantic Overseas Territory you will understand its impact on BFSAI and amend as necessary to remain compliant.
The IM will ensure best practice is implemented within the organisation on the acquisition, management and organisation of information. They will also facilitate access to information to maximise its exploitation and re-use. The IM manager will proved advice and guidance to BFSAI about information handling, information lifecycle management and the interpretation of policy. They will also support information risk owners in carrying out their responsibilities.
This position is advertised at 37 hours per week.
Accompanied and unaccompanied tours to the Falkland Islands will be for an initial period of up to two years, with the option to extend for a further year.
Cyber & Specialist Operations Command Transformation
Cyber & Specialist Operations Command is going through a significant transformation programme which aims to improve the way the Command conducts its business and delivers for Defence and the nation. Because of this, all posts within Cyber & Specialist Operations Command Headquarters and in time the wider organisation, are/will be subject to review and potential changes as we continuously improve across the period of the transformation programme. Job description
Your main day to day activities will be:
- Developing the organisation’s Information Governance strategy
- Keeping abreast of legislative changes which may impact the organisation, and amending information management practices as required
- Developing appropriate retention and disposal schedules for electronic content
- Providing advice on information management issues and promoting best practice relating to information management
- Ensuring information management processes are kept up-to-date and reviewed regularly to ensure they’re fit for purpose under the latest KIM guidelines
- Collaborating with teams and networks across the organisation and across government to understand stakeholder concerns, build consensus and help KIM messaging ‘land’
- Conducting information audits to make sure assets are safeguarded and the appropriate controls have been applied
- Supporting the procurement of information technology systems and applications
- Advising on information risk

Person specification
- Collaborate with the HQ Chief of Staff (COS) Senior Information Officer (SIO) offering information governance guidance and advice.
- Function as BFSAI (BLB) Local Data Protection Authority (LDPA) and report to the HLB Principle Data Protection Authority (PDPA) for any data protection incidents within BFSAI. Consult with the HLB PDPA to address recommendations and mitigate data incident risks. Manage responses to local Subject Access Requests (SARs).
- Function as the BFSAI Records Manager, ensuring the unit is compliant with the Public Records Act 1958 and 1967, and MOD policy, as outlined in JSP 441.
- Implement UKStratCom Director of Overseas Bases (IGDN) IM, DP, IA and RM policies by issuing direction and guidance across BFSAI.
- Update and maintain the Information Asset Register (IAR), complete Data Protection Impact Assessments (DPIA) and use the Information, Knowledge, Digital and Data (IKDD) assessment tool to improve Information Governance.
- Ensure MOD SharePoint permissions policy is implemented in support of Data Protection and Information Assurance policies.
- Provide awareness training to staff via Command Routine Orders, theatre arrivals briefs and user engagement.
- Raise awareness of IM and related topics across BFSAI. This may include delivering section briefs, 1-2-1 sessions with personnel and creating campaigns to raise IM awareness across BFSAI.
- Consider the risk associated with key elements of poor Information Management or Data Protection and raise with the SIO and SO2 J6.
- Maintain the BFSAI Information Management Plan to focus on BFSAI Command intent and priorities.
- Make timely returns to UKStratCom HLB to ensure their demands for updates and changes to all IM, DP, AI and RM polices are met.
- Ensure SharePoint LTD document libraries are properly controlled and support the MOD Data Protection Officer via the HLB Principle Data
- Protection Advisor to enforce the legal requirements of the Data Protection Act 2018 (DPA18).
- Raise the awareness of IM best practice by issuing regular advice and engaging with Information Asset Managers.
- Assist the iHub with the maintenance and development of the BFSAI Share Point sites on MODNET OS and S.
- Respond to all Information Assurance tasks for UKStratCom Information Governance Working Groups. This includes the Internal Control Assurance Report (ICAR).
- Chair IM forums on behalf of the SIO to support BFSAI’s Information Asset Owners and IM network. As required, issue specified tasks to support the implementation of MOD IM best practice.
