Our Knowledge and Information team has a wide range of responsibilities – these include reviewing and transferring records for preservation at The National Archives. The growth in digital records means the team are embracing the use of AI and other advanced technologies to tackle the complex challenges we face. The work is vital and protects the UK’s relations with other countries, as well as our defence interests, the intelligence services and the personal data of individuals, all within a secure legal framework.

Develop your skills in a fast-paced, focused environment
When you join our supportive and collaborative team in this important role, you’ll be responsible for the maintenance, development and accuracy of key data sources, and provide some of our stakeholders with information derived from this data. Managing enquires to our data protection mailboxes, and supporting the Privacy Officer, Privacy Manager and Transparency Officer with Freedom of Information and Subject Access requests, you’ll gather and collate information on other more straightforward requests and liaise with the FCDO as you draft your responses.
You’ll have a range of additional tasks in this challenging and fast-paced position – these include helping to access customer data, ensuring transparency at all times, tracking and reviewing data protection impact assessments, and working with stakeholders to update and pass these for approval. You won’t need to have an in-depth knowledge of our work because you’ll receive high quality training as you learn and develop, but you will need to have a good awareness of the importance of the team’s focus.

To be a success in this role you should have some experience of publishing information online, an understanding of how to use sensitivity principles to review documents, and the ability to analyse, interrogate and evaluate data. It’s important that you have some knowledge of the Freedom of Information Act and Data Protection Act, and in addition to being able to handle a number of requests at the same time, you should be ready to help manage two shared mailboxes.
It’s vital that you possess good working knowledge of Microsoft’s SharePoint and 365, and as you’ll be building and sustaining relationships with a wide range of colleagues and stakeholders, you should have excellent communication skills. Committed to meeting tight deadlines and maintaining the confidentiality and integrity of the information you handle, we’ll also expect you to be capable of drafting and writing high quality technical documents.
