About the Legal Operations Directorate

The Legal Delivery Division sits within the Legal Operations Directorate of the COO Group within GLD.

The Legal Operations Directorate aligns existing cross functions and skills, and creates new complimentary roles and capabilities, to collaborate and identify ways for GLD to become ever more efficient in the support of legal teams.

The work of the Legal Delivery Division is core to the future effectiveness of GLD’s legal work. We are building to provide the support to lawyers in many areas, including legal process improvement; automation; effective use of legal technology; data driven insights; and the provision of complimentary service skills, such as Legal Project Managers.

Through our commitment to excellence and innovation across all our activities, the Legal Delivery Division will help GLD achieve its vision of being an outstanding legal organisation, and an organisation fit for the future. The Legal Delivery Division will also play a crucial role in helping GLD deliver its PAS GLD2030 efficiency ambitions.

The Legal Delivery Division partners with other Legal Operations services, such as the AI Programme, and the Knowledge and Innovation Division, including legal learning; as well as working closely with the Digital and Data team, and with development training colleagues in HR, to optimise the overall service provided to lawyers.

The Legal Operations Directorate collectively operates on an open and collaborative basis.

About the Role

As Legal Process Improvement Manager, you will be responsible for delivering legal process improvement services within GLD. You will report directly to the SCS1 Head of the Legal Delivery Division. The job holder will be expected to drive efficiency and enhance service delivery through data-driven and technology-enabled methods.

Your focus will be on reviewing existing processes, understand areas of inefficiency and develop new tools, processes and playbooks to drive standardisation and consistent delivery using continuous improvement frameworks and practices. You will lead change management and help with the design and implementation of live strategic initiatives and projects to achieve process optimisation on individual cases across the GLD Directorates.

You will provide operational support in terms of planning, scoping, financials, operational risks, reporting and coordinating teams, enabling lawyers to focus on legal work. As an integral part of Legal Delivery, you will contribute to the development of the wider team and build its presence across GLD.

This is a leadership role, and the successful applicant will be expected to lookup and out and to help ensure that Legal Delivery plans remain aligned to wider GLD and government priorities. You will have excellent relationship management skills, building effective working relationships with a wide range of stakeholders, including in client departments and across GLD.

Key responsibilities include:

  • Reviewing and mapping existing workflows, procedures, and systems within the Directorate to identify inefficiencies, bottlenecks, and areas for improvement.
  • Engage key stakeholders, collaborating with lawyers, support staff, clients, and other stakeholders to gather feedback, understand requirements, and ensure alignment with business objectives.
  • Developing and implementing new or improved processes, leveraging best practices and legal technology to enhance efficiency, accuracy, and client service.
  • Leading change initiatives, including communication, training, and support to ensure successful adoption of new processes and tools.
  • Planning, coordinating, and overseeing process improvement projects, ensuring they are delivered on time, within scope, and on budget.
  • Establishing key performance indicators (KPIs), monitoring progress, and reporting on the effectiveness of process improvements.
  • Assessing, selecting, and deploying legal technology solutions such as Gen AI, document automation, contract management systems, and workflow tools.
  • Fostering a culture of ongoing improvement by regularly reviewing processes, soliciting feedback, and making iterative enhancements.
  • Ensuring that process changes comply with legal and regulatory standards and identifying and mitigating potential risks.
  • Creating and maintaining comprehensive documentation of processes, procedures, and improvement initiatives for reference and compliance purposes.

  • Proven ability to manage complex cross-functional projects end-to-end.

Security Clearance Level

All GLD employees must hold BPSS security clearance. SC security clearance is desirable but not essential, there will be an opportunity for candidates who are willing and able to obtain this level of clearance to go through this when in role. There is the possibility that GLD can provide sponsorship for skilled workers, as long as they meet the eligibility criteria set down under current immigration legislation. GLD does not guarantee sponsorshipwill be provided or that an applicant will be successful in gaining a skilled worker visa.

Selection Process

After the closing date, the appointing panel shall assess candidates’ suitability for the role based on evidence provided in their application against the Behaviours, Experience, Technical Skills and Qualifications outlined in the person specification.

STAGED-SIFT : If there are a large number of applications the panel will conduct a staged sift. The initial sift will be on CV alone. If you meet the minimum criteria for the CV, you will then go to the full sift on the Statement of Suitability.

In the eventuality that there are a high number of applicants successful at sift, GLD may operate a longlist, whereby applicants who have been shortlisted and met the minimum pass mark but are not selected for interview will have their application placed on hold.
