Job summary

The Prime Minister’s Office enables the Prime Minister to deliver the Government’s overall priorities and to communicate the Government’s policies to Parliament, the public and international audiences. From the Policy Unit, Press Office, Switch and Custodians, to the Events & Visits team and the Private Office support; the diverse Downing Street team draws on varied expertise from across the Civil Service and beyond. We are seeking a skilled and motivated Microsoft 365 Engineer to join our busy and fast-paced ICT Service Delivery team, based in the heart of UK Government. This is an exciting opportunity to contribute to the delivery and evolution of modern digital services that support critical government operations.

As part of a small, highly collaborative technical team, you’ll play a key role in ensuring our Microsoft 365 suite is fully leveraged to streamline and modernise business processes across departments. You’ll work closely with colleagues from across ICT, other government departments, No10 business areas, and with external suppliers to deliver high-quality, secure, and user-focused solutions.

Job description

What You’ll Be Doing

  • Lead the maintenance, enhancement, and rollout of any Microsoft 365 services, ensuring they meet operational, security and needs and strategic goals.
  • Develop and implement a clear roadmap for M365 services, identifying opportunities for innovation and improvement.
  • Provide expert support and troubleshooting for M365-related issues, resolving them efficiently and effectively.
  • Collaborate with stakeholders to understand business requirements and translate them into technical solutions using M365 tools.
  • Contribute to the strategic direction of IT and Telecoms services, influencing future network architecture and service delivery.
  • Share knowledge and best practices with colleagues, supporting a culture of continuous improvement and learning.

  • Strong technical expertise in Microsoft 365 services including administrating Exchange Online, SharePoint, Teams, OneDrive, and Power Platforms.
  • Proven experience in deploying, configuring, and managing M365 environments in a complex organisation.

Key responsibilities:

Your key responsibilities are to manage, maintain and enhance the M365 technologies used by staff, to get the best service possible, value for money and appropriate security wrap. You will also provide support to the business on any M365 products.

This will be achieved by:

  • Working internally with ICT Service Delivery team to build modern, scalable, secure IT systems
  • Managing, maintaining, researching, recommending and implementing configuration and best practices for:
    • Exchange
    • Teams
    • SharePoint
    • OneDrive and
    • other related products
  • Ensuring high availability and performance of our Microsoft 365 services
  • Advocate and promote the internal toolset and make sure that we are using them to their full potential
  • A part of your role will be to liaise with users, architects, and business areas to understand and develop ideas on how the M365 suite can help efficiency, save costs, or negate the needs of other systems
  • You will work with our Microsoft account managers and the ICT support team to stay on top of new features and releases ensuring that business areas are aware of new functionality before it is rolled out
  • You will guide and train junior members of the team in day-to-day procedures as necessary, so they can train users, and complete basic ICT administration tasks
  • Supporting the Head of No10 IT Service Delivery to develop network strategy and deliver supporting projects to meet business requirements on time and within budget, from procurement to the delivery of the service

Daily activities can include:

  • Monitoring, administering and managing M365 services
  • Ensuring service availability, performance, and security
  • Investigating and resolving faults in services
  • Implementing preventative measures and providing advice on solutions
  • Configuring collaboration features, permissions, and access controls
  • Using PowerShell or other scripting languages to automate repetitive tasks
  • Creating and maintaining scripts for provisioning, user management, and reporting
  • Performing administration, maintenance and system tasks such as testing, and applying updates, patches, and feature releases to Microsoft 365 services
  • Documenting configurations, procedures, and best practices
  • Optimising licensing and subscription costs
  • Mentoring and leading less experienced members of the team to develop skills across the team
  • Keeping up to date with new practices and innovation in technologies
  • Bringing in recommendations to improve system performance, security, and reliability
  • Participating in being on the full team on-call support rota

Plus, many more ad hoc technical, commercial and business activities required in support of the team’s work

Person specification

Essential Skills & Experience:

  • Certifications in Microsoft 365 (e.g. MS-900 or equivalent) or higher
  • Expert experience working with and administeringExchange, OneDrive for Business, Teams, SharePoint, Power Platform, M365 Admin Centre
  • Expert knowledge of Exchange Online, on-premises Exchange and hybrid Exchange environments
  • Working knowledge of enterprise mobility & security, Information Protection, Threat Protection, Cloud App Security
  • Microsoft Teams implementation, governance, administration
  • Active Directory / EntraID management
  • Experience of managing Microsoft licencing and Azure subscriptions and service health monitoring
  • Experience in translating business requirements into tangible technical milestones and creating Automated flows to automate repetitive tasks
  • Strong experience leading implementation projects of M365 workloads and new features
  • Be proactive with the changes in the Microsoft ecosphere and ensure that we are working towards the cutting edge of the technology stack
  • Strong ability to produce and maintain technical documentation
  • Proven technical experience of large enterprise environments managing multiple technology services

Important to note:

Like most businesses, we need to maintain our services 24/7, therefore there will be a requirement to work out of hours that is mostly planned but sometimes unplanned as a part of this role.

You will also be required to participate in an out of hours on-call rota for which an allowance will be paid. This rota includes weekday evenings and nights, weekends and public holidays.

There will be the occasional need to work at remote sites as part of this role. There may also be a requirement to travel nationally or internationally depending on business needs, this may include staying overnight for several days.

Because of this, you must have a:

Desirable Skills & Experience

The following experience and skills are desirable in this role:

  • Microsoft 365 Certified: Administrator Expert MS-102
  • Recognised higher education in an IT related area
  • Microsoft Certified: Enterprise Administrator Expert
  • Network Security qualifications
  • Working knowledge of legislation pertaining to Government/Public Sector IT and Government security classifications
  • First line support experience supporting Windows and Mac devices, iPhones, Microsoft Office 365 and printing services
  • Knowledge and experience of supporting Microsoft Teams voice and video services
  • ITIL Service Management foundation or equivalent

Additional information:

Cabinet Office policy is that a minimum 60% of your working time should be spent at your principal workplace. For some roles, due to their nature and the business need, this may be up to 100%.
