Job description

The role of a Personal Assistant and Business Support at HM Treasury is varied and exciting! It gives you a fantastic opportunity to experience working at the heart of Government, whilst also providing you with the opportunity to work alongside senior leaders. Key Accountabilities for this role include:

  • Diary management - proactively plan and manage the diary using your professional judgement to line up meetings in a well-organised way. Resolve conflicts, negotiate and allocate time to Deputy Directors (DDs) priorities. Develop a good understanding of International Economics’ work and priorities so you can make decisions on behalf of the DDs.
  • Support DDs priorities – you will support by anticipating problems, risks, issues and corporate tasks that they will have to deal with and proactively make suggestions about the best way to take them forward.
  • Coordinating Logistics - ensure the DDs are clear on their schedules for the day and prepare diary and meeting folders in preferred format. Coordinate all logistics of virtual and in-person, internal and external meetings including organising international travel, hotels, taxis, visas, rooms, conference phone lines etc.
  • Correspondence management - Manage and coordinate official correspondence including Ministerial responses, Parliamentary Questions, Freedom of Information requests, and Treat Official communications, ensuring timely and accurate handling in line with departmental standards.
  • Team support - Provide cover for the other PAs in the Group Management Services Team (GMS) during absences by monitoring the inboxes and diaries of the Deputy Directors they support when needed.
  • Building Relationships - take the initiative to develop and lead relationships with key external and internal partners and colleagues to effectively do the job.
  • Admin/Secretariat Support
    • Provide administrative support to the team that the DDs lead, gaining a sound understanding of the teams work and where requested coordinating briefing and occasion project support.
    • Responding to ad-hoc requests for help, such as raising purchase orders.
    • Ensuring the DDs have regular meetings with their team members and respond to ad hoc requests for help, such as travel arrangements and room bookings for the team.

You may also be asked to help with other ad-hoc or new tasks, in line with your development plan and the business needs.

Whilst hybrid working will be the normal working pattern for this role, the successful candidate will be required to work from the office three days a week (60% of their working time) and to remain flexible about which days they attend, dependent on business needs.

Hybrid working: HM Treasury operates an office based working approach across all Treasury sites. There is an expectation of a minimum of 60% attendance in the office. Please be aware that this role can only be worked in the UK and not overseas.

Reserve Lists

Internal Fraud Database Check

Everyone working with government assets must complete Baseline Personnel Security Standard (BPSS) checks. Additionally, successful candidates will be subject to National Security Vetting. The level of security vetting required for this role is Security Check (SC).

To allow for meaningful checks to be carried out, applicants will need to have lived in the UK for at least 3 out of the past 5 years. You will be asked to provide residency information within your application form, and eligibility for national security vetting will be checked once the advert closing date has passed.
