Job summary

Reporting to the Professional Lead - Executive Assistants, the People Lead EA will manage the people aspects of up to 13 Executive Assistants.

The Executive Assistants Team is responsible for enabling the effectiveness of Executive and Senior leaders by providing a professional, proactive Executive Assistant service which drives the need to work with impact and excellence every day.

Job description

The position acts as the lead on all people-related aspects of the Team, including 1:1s, professional development, pastoral support, performance management and developing initiatives for continuous improvement. The People Lead is responsible for ensuring that the team have dedicated support, resulting in consistent, high level service delivery and both personal and professional development.

Key relationships

• Has frequent contact with the Executive Leaders, Senior Leadership Team, Human Resources and Business Managers.

• Regular contact to develop, build and maintain effective relationships and networks with a range of stakeholders across the agency

Key accountabilities and responsibilities

• Develop, execute and maintain professional development plans aligning with the EA delivery framework, that optimises service delivery and which supports and provides impact to leaders.

• Implement and monitor capability plans, on a team and individual basis. Working with the EA community to progress continuous improvement initiatives.

• Regular communication and liaison with the Team, collectively and on a 1:1 basis. Management of Team meetings, 1:1’s, objective setting, career conversations and performance management.

• Management of team and individual performance, sharing success within the team and the business

• People management of the team to professionally develop the service and people in a collaborative and inclusive way.

• Build strong relationships with Senior Leaders through regular communication and active participation to ensure the service is optimised and needs are met.

• Lead, develop and maintain operational excellence while pursuing and embedding continuous improvement.

• Clear approach to incentivise behaviours that support transformation of the EA service, identifying and implementing targeted interventions to change culture, behaviours and mindsets at all levels.

• Ensure that appropriate cover is in place for periods of planned and unplanned EA absence to support the delivery of an uninterrupted service to Leaders.

• When required, provide surge capacity cover for EA activities, to ensure service demands are met.

Person specification

We are looking for someone who has:

• Experience as an executive level EA, with some experience as a team supervisor or lead

• The ability to think critically and strategically within the remit of the role as well as to solve problems while considering the impact of outcomes on the bigger picture

• Knowledge and experience of people management standards and the ability to provide professional input with credibility, generating confidence and enhancing delivery.

• Knowledge of successful ways of working to implement a consistent EA service to Leaders.

• Capability to coach and manage people and to have difficult and challenging conversations to ensure professional standards are being met. Working with colleagues to remediate issues and ensure appropriate decisions are made.

• Experience of developing systems and processes to support EA service delivery.

• Proven ability to work collaboratively in partnership and across organisational boundaries.

• The ability to create and set clear direction, motivating others to work towards a common goal.

• Ability to lead, manage and inspire a team in a collaborative and inclusive way.

• Capability to manage and develop professional staff, including the establishment of a positive performance culture and continuous service improvement recommendations.
