We are looking for a PersonalAssistant toplay an integral role in our Digital Team, supporting directors, managing diaries effectively and providing high quality support as a first point of contact for internal and external stakeholders.
You will work closely with Directors to understand their priorities and preferred working styles. Using your initiative, you will manage and prioritise busy diaries and inboxes to ensure smooth day-to-day operations. Your responsibilities will include scheduling meetings, coordinating papers, tracking deadlines and actions, engaging with stakeholders, and arranging travel.
Please note:
- This role is aligned to our Cardiff office where you would be expected to attend on a regular basis as the role requires.
- Security Clearance is essential for this campaign. You'll need to have been in the UK for at least 3 out of the last 5 years to be eligible to apply for SC.

Job description
The Personal Assistant plays a key role in helping our Executive and Senior Leadership Team (STL) prioritise their tasks so they can optimise decision-making and make the best use of their time for the benefits of the whole organisation.
In this role you will be:
- Managing multiple diaries, arranging meetings.
- Ensuring that meetings and appointments are scheduled appropriately and conflicts are resolved.
- Managing inboxes, prioritising papers, correspondence and actions that senior colleagues need to review.
- Providing ad-hoc admin support to the Directorate.
- Making travel arrangements within UK and overseas.
- Planning and coordinating visits for external visitors.
- Working to agreed deadlines and protocols.
- Required to support other PA's as needed by covering work to additional Directors.
- Supporting Directorate wide events and communications, providing administration, coordination and creative support.
- Working with the Business Manager to ensure the smooth administration of Directorate wide initiatives and activities.
- Supporting the activities of the Business Manager, providing cover during periods of absence.
- Please note: due to the requirements of this role the Personal Assistant is as an active presence through the week. A 5-day working week is the preferred working pattern for this role.

Where will you be working?
You will be aligned to our Cardiff office, where you will be expected to attend on a regular basis. We are currently using a hybrid approach to the way we work which provides opportunities for you to be adaptable in the way you work so that you can achieve a healthy balance between your work and home life. The degree of choice you have will depend on your role and your day-to-day work activities. Your manager will agree regular patterns of attendance with you, however you may be required to make yourself available to attend the office more frequently when required to meet business needs.

Stage 1 – Sift

Stage 2 - Interview
Companies House uses a blended interview technique, allowing us to find out more about you. We use the Success Profile framework and at interview we will use Success Profiles assessing the Behaviours and Experience listed in the advert and Strengths. Successful candidates from the sift stage will be invited to an in-person interview, which will take place in our Cardiff office (CF14 3UZ).
Activity: There will be an activity as part of the interview process which will assess Experience:

Further details for the activity will be given to candidates successfully selected to attend after sift.

Security Clearance
Successful candidates must pass a Baseline Personnel Security Standard (BPSS) check before they can be appointed.
BPSS is an entry level security check. It uses the Police National Computer (PNC) to make sure a candidate has no convictions. The check returns evidence of any current criminal record and un-spent convictions under the Rehabilitation of Offenders Act 1974.
Successful candidates must meet the security requirements for Security Check (SC) before they can be appointed.
The requirement for SC clearance is to have been present in the UK for at least 3 of the last 5 years. Failure to meet the residency requirements will result in your security clearance application being rejected.
