About the role:

We are looking for a highly organised and proactive co-ordinator to join our team. This role is central to the smooth running of our daily operations, providing essential administrative and operational support to ensure services are delivered efficiently and effectively.

In this role, you will be responsible for processing a high volume of invoices with accuracy and attention to detail. You will manage a range of responsibilities relating to garages, including creating and closing licenses, updating records, raising repair requests, serving notices, and arranging for the removal and storage of items. All interactions and actions involving residents must be clearly documented and stored appropriately to ensure transparency and accountability.

You will also take ownership of managing several team inboxes, making sure that all correspondence is responded to or actioned promptly. Your role will include ordering and processing fobs and keys, managing stationery supplies for the team, and ensuring incoming post is sorted and distributed to the correct team members. Additionally, you will support the wider Place Team with general administrative duties such as printing and posting, as required.

We are seeking someone who is dependable, detail-oriented, and confident working both independently and as part of a team. Strong communication skills and the ability to handle multiple tasks at once are essential, as is prior experience in an administrative or coordination role. Proficiency with Microsoft Office and other standard office systems is expected.

Key Responsibilities:

  • Efficiently process a high volume of invoices with accuracy and attention to detail.
  • Managing garages, including creating and closing of licenses, updating records, raising repairs, serving notices and having items removed and stored.
  • All actions and interactions with residents are documented and saved in the appropriate locations.
  • Oversee several inboxes, ensuring correspondences and actions are responded to/actioned in a timely manner.
  • Processing and ordering of fobs and keys.
  • Ordering stationary for team members.
  • Collecting and sorting post, ensuring all post is read and assigned to the correct team member.
  • Assisting the Place Team in other related tasks such as printing, posting etc.

Qualifications and Requirements:

To be considered for this position, you should meet the following requirements:

  • Proven experience in a co-ordinator role.
  • Must be able to travel to different areas of the Borough.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint etc.)
