Job summary

Ministry of Defence Police (MDP) is a civilian police force protecting UK Defence community, capabilities & assets. MDP consists of armed officers, specialist policing roles & professional civilian staff who work seamlessly with the MOD, US Visiting Forces, & other policing & security partners. With stations across the United Kingdom, our presence extends from nuclear facilities to military sites and government buildings. Unlike territorial police forces, our jurisdiction and expertise are focused on protecting the critical infrastructure that underpins national security. Our officers and civil servants bring diverse experience and skills to the unique challenges of Defence policing.

As the Resourcing Support Administrative Officer, you will be part of a team providing comprehensive support and management of candidates progressing through a complex and often lengthy police recruitment process.

You will help to deliver resourcing activities, including assessment centres, and ensure candidates receive clear communications at all stages and that their experience is positive.

Although it would be of benefit, you do not need HR or Recruitment experience. We are looking for someone who is well organised, detail‑focused, and takes pride in delivering a quality service.

This position is advertised at 37 hours per week.

Office attendance:

The current office attendance mandate is 60% of time in office at RAF Wyton, one day to be a Tuesday. The rest of your time will be worked from home. Expectation for this role is that additional attendance above the 60% will be required on assessment weeks, but this can be offset across other weeks if required.

Reasonable adjustments will be considered on a case by case basis (via Occupational Health referral etc)

Job description

Primarily the role is to act as recruiter for external candidates to the MDP who we process from application to hire. Main tasks include but are not limited to:

  • Act as a lead point of contact for a cohort of candidates, guiding them through the recruitment process, including sifting, all the way through to hiring actions.
  • Ensuring tasks are completed accurately and on time
  • Communicate clearly with candidates by email and phone, answering questions and providing updates
  • Assist with the coordination and delivery of key stages of the process including interviews, assessment centres, medical checks and vetting
  • Maintain accurate trackers, spreadsheets and candidate records on SharePoint
  • Support assessment centre activity and act as a candidate coordinator on the day
  • Carry out onboarding actions, including issuing contracts and hiring documentation
  • Handle sensitive and confidential information professionally at all times
  • Provide assistance to the internal resourcing team as required and to build resilience across teams – this includes supporting internal recruitment, promotions and redeployment activities.

Person specification

We are looking for someone who will bring the following strengths to the role:

  • Be highly organised, with the ability to manage multiple tasks and competing priorities
  • Be confident communicating professionally with candidates and colleagues by email, phone and in person
  • Have strong customer service skills and understand the importance of providing a positive candidate experience
  • Be accurate and detail‑focused, particularly when managing records, drafting official documents, handling data and conducting pre‑employment checks
  • Be comfortable working to structured processes, guidance and deadlines
  • Be able to handle confidential and sensitive information appropriately
  • Work well as part of a team and be flexible in supporting wider resourcing activity when required
  • Be confident using Microsoft Office systems (including Outlook, SharePoint, Teams, Excel and Word) and shared digital tools to track and manage work

Essential Criteria:

The successful candidate should be able to demonstrate evidence or ability of:

  • Working in an administrative or support role, handling correspondence, records or casework
  • Ability to communicate clearly and professionally with a range of people at all ranks and grades (e.g. candidates, customers, colleagues)
  • Work with data, trackers or spreadsheets, ensuring information is accurate and kept up to date
  • Follow policies, procedures or defined processes, meeting deadlines and escalating issues when appropriate
  • Experience of managing a workload with attention to detail and accuracy, particularly when handling sensitive or confidential information

Desirable Criteria:

  • Experience working in a HR, recruitment or resourcing environment
  • Experience supporting high‑volume or process‑driven recruitment
  • CIPD Level 3 (or working towards), or equivalent experience
