Job summary
Security Services Group (SSG) is the MOD’s Technical Authority for electronic and physical security providing in-house expert advice, design, installation and maintenance of electronic and physical security systems across Government, prioritised towards Secret and Above Secret, and items Attractive to Criminal and Terrorist Organisations (ACTO). SSG is part of GUARDIAN and is positioned withing Standing Joint Command to support UK homeland security and resilience.
With an FTE of 325, SSG provides technical specialist ‘consultancy’ advice to projects to support the creation of design specifications through to commissioning; project management and delivery with through life maintenance; strategic and tactical compliance assurance reviews and audits across the business; an assured government use only Intruder Detection System built in-house; and security furniture services. Head of SSG is also the MOD’s Head of Specialism for Physical Security across the MOD (part of the Government Security Profession).
SSG’s Operational Delivery teams are the MOD’s specialist in-house security providers, delivering project management, design, installation and 24/7, 365 days a year maintenance of all aspects of electronic and physical security, with a global reach. SSG’s work is independently audited to ensure, ISO 9001:2015 and NSI compliance and accreditation as well as MOD’s own internal compliance regime.
This position is advertised at 37 hours per week.
Job description
The post holder will provide administration support to either SSG Atomic Weapons Establishment (AWE) Operations team or, South West (SW) Operations Team in relation to the installation & maintenance of security systems, whilst ensuring that a professional, efficient & cost-effective service is delivered to SSG’s customers.The successful applicant will be the point of contact for customer call outs, logging of calls on SSG maintenance system (CASH); allocating calls to SZ4 Technicians, closing jobs, quoting customers and raising invoicing to clients in accordance with desk notes; raising requisitions for goods (Training/parts/access hire/clothing/PPE etc.); input of AWE/SW staff operations time sheets; filing; project archiving & general office administration.
Successful applicants depending on location will be either based at AWE (near Reading) or at Shrivenham working for SSG’s customer base Support.
There will also be occasional requirements to travel and work within the various SSG offices and AWE as part of the role.
You will be provided with the use of a hire or “pool” vehicle or car share for travel, together with opportunities for overtime and travelling time depending on business needs.
Person specification
Main responsibilities include:
- Point of contact for customer call outs (includes AWE/SW Facilities Management Companies and Other Government Departments - OGDs).
- Logging calls onto CASH system & allocating calls to Field Technicians (FTs).
- Raising invoicing to SSG customers in accordance with desk notes & relevant contracts and/or Service Level Agreements (SLAs).
- Raising requisitions using SSG CASH system in respect of parts, access hire, clothing/PPE and calibration of test equipment.
- Receipting of goods/services received on SSG CASH system.
- Input approved SSG timesheets for AWE/SW staff.
- Support the DNE/AWE/SW Operations Team in the efficient running of the regional AWE/SW/Sealand Operations Offices (CASH).
- Accurately record, produce, and distribute meeting minutes and action logs.
- Follow-up action on customers for outstanding covering orders for call outs.
- Logging calls onto customer AMS system & updating maintenance activities.
- Job enquiries – provide updates to customers as required on outstanding/completed jobs.
- Follow-up action on FTs for delayed/late reports/dockets.
- Maintain accurate projects records, filing and archiving documentation, maintaining SSG Project Documentation Received Records.
Essential Skills, Experience, Qualifications, Memberships & Licences:
- Strong administrative and organisational skills with keen attention to detail.
- Ability to multitask and prioritise workload efficiently.
- Excellent communication skills to liaise with customers and field technicians.
- A proactive and problem-solving mindset.
- Full UK Driving Licence: The post holder will be required to occasionally travel to support the SSG AWE/SW Operations Team from other business areas within SSG which are not easily accessible by public transport. Driving a vehicle is a requirement of the job and therefore a full driving licence is required.
Desirable Skills, Experience, Qualifications, Memberships & Licences:
- Previous experience of working in an office-based team with good organisational skills. Prospective applicants ideally should have good IT skills and working knowledge of Office 365 and MOD Systems: Clarity, ATT, CASH and CP&F.
- Good telephone manner and be able to converse with staff and clients at all levels in a polite and understanding manner.
- 2 GSCEs at Grade C or above or equivalent

NVQ Business Administration Level 1
OR
Suitable Civil Service clerical experience
Security Clearance:
Once onboarded, the successful candidate will be put through the application process to achieve Developed Vetting security clearance level.
