Job summary

The principal purpose of the post is to provide vital administrative support to the Head of Education Research Policy, who is blind, enabling her to carry out her role effectively. You will work closely with her to support her day-to-day responsibilities across a range of important Welsh Government issues.

Job description

The principal purpose of the post is to provide vital administrative support to the Head of Education Research Policy, who is blind, enabling her to carry out her role effectively. You will work closely with her to support her day-to-day responsibilities across a range of important Welsh Government issues.

Person specification

  • Proof reading, advising on layout and formatting of documents typed by the manager.
  • Putting documents into the appropriate format for government use e.g. briefings, diary cases, MAs and other relevant documents, ensuring content is in the correct format, within tight time pressures.
  • Formatting documents for Braille (no previous knowledge of Braille required). You will need to interpret and describe information set out in diagrams/pictures that are not easily replicated in Braille.
  • Liaising with the print unit about printing documents in Braille and other divisions such as the Comms Team to advise on design and the formatting of documents into Braille.
  • Liaise with meeting organisers in advance of meetings/events to ensure documents and presentations are accessible.
  • Undertaking Internet/Intranet searches as required.
  • Secretariat Duties – Organisation of meetings /seminars (in person and via Microsoft Teams), taking minutes at meetings and follow actions on behalf of manager.
  • Maintaining manager’s Outlook Calendar and diary and advising her on appointments.
  • Accompanying the manager to internal and external meetings.
  • Completing forms on the manager’s behalf, e.g., flexi sheets, travel and subsistence claim forms etc.
  • Maintaining both a filing key of Braille documents and files of printed material and saving files electronically on iShare (training will be provided where necessary).
  • Reading aloud material which is sometimes lengthy and complex.
  • Performing general administrative duties, filing, photocopying, and reading mail etc.
  • Any other duties as directed by the manager.
