Title: Team Administrator – LLR, RtB and KWS

Contract Type: Permanent Full Time, 35 hours

Salary: £26,775 per annum to £29,280 per annum (London weighted salary) dependant on experience plus ECU allowance (if policy requirements are met)

Grade: 3

Reporting Office: London, Stratford

Working Location: Stratford, Wexham, King George and LLR Patch across London

Persona: Agile Worker: 20% - 40% of contractual hours to be worked from reporting office/working location (hybrid working)

Working Pattern: Monday to Friday

The Administrative Support Assistant will provide essential administrative support to a specific area of the business, acting as the first point of contact for internal and external customers, residents, and other stakeholders. This role ensures the smooth and efficient operation of key administrative processes while contributing to the overall objectives of the team.

Your impact in the role:

Team Contribution & Customer Service

  • Support the achievement of the team’s objectives and contribute to delivering excellent customer service in line with L&Q’s values.
  • Be a proactive team member, consistently aiming to improve customer satisfaction and help meet key performance indicators (KPIs).
  • Handle basic day-to-day queries from residents, customers, and other stakeholders, ensuring issues are resolved effectively or referred to the appropriate team member.

Administrative Support & Business Processes

  • Undertake a variety of administrative duties, including maintaining Trust records, data entry, and general office management tasks.
  • Support key business processes, including basic financial accounting tasks, such as processing invoices and tracking budgets, as needed.
  • Being able to attend sites, when necessary, must be flexible to travel

Collaboration with Stakeholders

  • Work closely with colleagues and key stakeholders both internally and externally, ensuring effective communication and collaboration.
  • Be the first point of contact for residents and external parties, addressing queries or concerns according to defined policies and procedures.

Compliance & Governance

  • Ensure that all work complies with governance standards, statutory, and regulatory provisions relevant to the Trust’s operations.
  • Follow established procedures to mitigate risks in areas under the jobholder’s control, contributing to the maintenance of a secure and compliant working environment.

Record Keeping & Systems Management

  • Maintain and update relevant Trust records and systems, ensuring accuracy and up-to-date information.
  • Assist in the management of administrative systems to support the business area’s functions.

What you'll bring:

  • Strong communication skills with the ability to manage relationships with internal and external stakeholders.
  • Ability to manage multiple tasks and prioritize effectively in a busy environment.
  • Familiarity with basic administration processes and systems.
  • Commitment to providing excellent customer service.
  • Ability to work both independently and collaboratively within a team.
  • Knowledge of statutory and regulatory requirements in an administrative context is a plus.
  • Must be flexible to travel

Additional Requirements:

  • A flexible approach to work and a proactive attitude in problem-solving and handling queries.
  • Willingness to continuously develop and contribute to team goals and objectives.
