Workplace Coordinator (Front of House) – Deliver a Professional and Welcoming Workplace Experience

Do you enjoy creating a positive first impression and supporting colleagues in a busy workplace? As a Workplace Coordinator (Front of House) at Peabody, you’ll play a key role in delivering an excellent customer experience across our corporate offices. You’ll be part of a multifunctional Facilities Support Team, ensuring our workplaces are safe, well‑organised and welcoming for colleagues, residents and visitors.

This is a varied, customer‑facing role where your professionalism, organisation and attention to detail will make a visible difference every day. You’ll be based at one of our offices, with flexibility to support other sites when needed.

What you’ll do

  • Greet visitors in a professional and friendly manner, creating a welcoming front‑of‑house experience
  • Manage front desk enquiries, issue passes and fobs, and handle payments where required
  • Administer Workplace inboxes and respond promptly to internal and external requests
  • Manage post room duties, courier arrangements and incoming/outgoing communications
  • Maintain accurate records including visitor logs, key tracking and document processing
  • Support meeting room bookings, set‑ups and daily checks of shared spaces
  • Work with suppliers and contractors to manage services, supplies and invoicing
  • Carry out Health & Safety checks, support Fire Marshal duties and report issues
  • Maintain workplace systems including parking databases, archiving and document management
  • Support wider Facilities tasks, including deliveries, stock management and colleague onboarding

What you’ll need

  • Experience in a customer‑facing administrative or front‑of‑house role
  • Strong organisational skills with the ability to prioritise tasks and meet deadlines
  • Excellent communication skills, both written and verbal
  • Strong IT skills, including Microsoft Office applications
  • Ability to manage confidential information with discretion
  • Experience working with suppliers, contractors or service providers (desirable)
