The vacancy
As the Digital Mail Scanning Coordinator, you will manage the end-to-end process of scanning and digitising incoming physical mail, ensuring timely and accurate processing in line with agreed service levels. You will be responsible for converting physical documents into digital formats, securely storing and indexing them, and ensuring their efficient distribution across the organisation. Working closely with various departments, you will deliver high-quality scanning services while maintaining compliance with internal policies and data protection regulations such as GDPR.
Reporting to the Workplace Supervisor and working as part of a small, dedicated team, you will support the initial setup and successful transition to a digital mail solution. Your focus will be on operational efficiency, document security, and exceptional service delivery. You will follow established procedures, resolve minor technical issues, collaborate with IT, and adjust workflows to meet business needs. You'll also play a vital role in identifying opportunities for improvement, helping us refine and enhance our scanning processes over time.

To be successful in this role, you're:
- Experienced in mail scanning, document management, or a similar environment
- Highly attentive to detail and committed to accuracy
- Proficient with digital scanning equipment and Microsoft Office tools
- Knowledgeable about data protection requirements such as GDPR
- Able to prioritise tasks effectively in a busy operational setting
- A clear and confident communicator
- Comfortable working independently while delivering consistent, high-quality results
