To support this change, we need measures to manage knowledge and information securely, proportionately and effectively; and we need to have the right people to carry out these measures.</p><p>We're looking for someone to advise on information management strategies, to champion good record management practice, to make the most of new opportunities to enhance data governance, and to monitor compliance with Knowledge and Information Management standards and Data Protection legislation.</p><p>Does that sound like you?</p><p>If so, we'd love to hear from you.</p><h4>Job description</h4><p>The main duties of the role will include:</p><ul><li>Developing, reviewing, and maintaining organisational KIM policies and procedures</li><li>Carrying out compliance audits of records management practices</li><li>Reviewing Data Protection Impact Assessments, Records of Processing Activity, and Retention Policies to ensure accuracy, currency, and full compliance with Data Protection legislation</li><li>Supporting the development and implementation of a knowledge and records management framework that includes structures and processes for governance</li><li>Providing clear advice and guidance to staff and senior managers regarding information handling, information lifecycle management, and policy interpretation</li><li>Supporting the Senior KIM Manager in managing the organisation’s information lifecycle from creation to disposal</li><li>Identifying, recording, and managing risks relating to information and records management to support the Senior Information Risk Owners</li><li>Delivering training and awareness sessions to ensure staff understand their obligations and best practices in information management and data privacy</li><li>Advising on appropriate retention and disposal schedules</li><li>Responding to personal data incidents and breaches as required</li><li>Providing advice and guidance to colleagues on drafting data sharing agreements and MOUs, and managing and documenting such agreements</li><li>Ensuring compliance with the Public Records Act, supporting the completion of regular transfers to The National Archives of physical and digital holdings</li></ul><p><strong>About the team</strong></p><p>The Knowledge and Information (KIM) Team sits in the Data Directorate and is concerned with ensuring that Companies House complies with its obligations under Data Protection, Freedom of Information and Public Records legislation. This includes supporting the organisation with data protection advice on project, policy and operational matters, turning round subject access, FOI and data protection requests, and meeting our duties relating to record retention. There is also a requirement to ensure that we have, and can demonstrate, appropriate measures to ensure that knowledge and information is managed in a way that is secure, proportionate, and can be used to best effect.</p><p><strong>Where you will be working</strong></p><p>You will be aligned to our Cardiff office, where you will be expected to attend on a regular basis. We are currently using a hybrid approach to the way we work which provides opportunities for you to be adaptable in the way you work so that you can achieve a healthy balance between your work and home life. The degree of choice you have will depend on your role and your day-to-day work activities. Your manager will agree regular patterns of attendance with you; however you may be required to make yourself available to attend the office more frequently when required to meet business needs. </p><p><strong>Working Hours</strong></p><p>Due to the nature of this role and team structure, this is only a full-time position of 37 hours per week.</p><p><strong>To be eligible for this role you also need to meet our Nationality requirements which are outlined below and also successful candidates must meet the security requirements for Security Clearance (SC) before they can be appointed.
