Job summary

Purpose of the post:

To provide high‑quality operational and coordination support for learning and capability activity, enabling effective delivery through accurate administration, use of digital tools and responsive customer support.

The role supports efficiency, data quality and service delivery, working under the direction of the EO and within established processes.

About the role:

The Capability & Learning Support Officer provides practical support to the Culture & Capability team, ensuring learning activity runs smoothly and that records, systems and enquiries are managed accurately and professionally.

The role increasingly uses digital and AI‑supported tools to improve efficiency and consistency, while remaining focused on delivery support rather than decision‑making or oversight.

This role reports to the Culture & Capability Operations Officer.

Job description

Core Responsibilities:

Administrative and coordination support

  • Provide administrative support for learning and capability activity, including scheduling, bookings and logistics.
  • Support preparation of materials, communications and documentation.
  • Manage shared mailboxes and routine queries, escalating issues where appropriate.

Systems and data support

  • Maintain accurate records in learning systems and spreadsheets.
  • Support data collection for attendance, feedback and participation.
  • Use agreed digital and AI‑enabled tools to automate routine tasks where appropriate.

Financial processing support

  • Process purchase orders, invoices and payments in line with agreed procedures.
  • Maintain accurate records to support budget monitoring and financial assurance.

Service quality and teamwork

  • Deliver a responsive, courteous service to colleagues and external providers.
  • Work collaboratively within the team, supporting shared goals and priorities.
  • Identify issues or errors early and highlight them to the EO.
