Job summary
We’re looking for an organised, proactive and customer-focused individual to join our Inspection Support team. As an Inspection Administration Officer, you will play a key role in supporting Estyn's inspection and follow-up processes by providing high-quality administrative and technical support. You will manage Virtual Inspection Rooms (VIRs), support education providers and inspection teams, administer follow-up activities, and ensure information and documentation are accurate and up to date. Job description
You will be responsible for providing administrative and technical support for Estyn's inspection and follow-up processes, ensuring the efficient delivery of inspection support services.
Key tasks include:
- Provision VIRs, prepare documentation for inspection and ensure access to the inspection system
- Providing technical support to providers and inspection teams using the inspection system and problem solving any issues
- Manage the translation and publication of inspection-based activity
- Prepare inspection-based documents for publication
- Administer the follow-up process for providers in line with Estyn guidance, maintaining accurate records, monitoring provider activity and ensuring all follow-up actions are completed within required timescales
- Coordinate website publication activities, ensuring inspection reports are uploaded accurately and within agreed timescales
- Maintain provider webpage records and support the publication and withdrawal of inspection-related content as required
- Create and maintain electronic filing systems and tracking information relating to Excellent Practice submissions
- Provide administrative support to Inspection Co-ordinators and colleagues, including cover arrangements, data input and support for wider team activities.
- Undertake any other duties reasonably required by management in support of business needs and organisational priorities
Person specification
It’s essential that you:
- Have good communication, literacy, numeracy and IT skills (Microsoft Office)
- Are organised with good time management skills and able to manage competing priorities to ensure the timely delivery of information
- Can prioritise tasks, work accurately and ensure that tasks are completed within agreed timescales
- Are approachable and able to form effective working relationships with people across Estyn and have good interpersonal skills
- Are able to diagnose and resolve problems quickly
- Have a positive and focused attitude to achieving outcomes and delivering high-quality service
It’s desirable that you have:
- Are able to work through the medium of Welsh
- Experience of working in a service delivery or customer service environment

- A sift of applications: The panel will consider all complete applications.
