We are looking to recruit to a 3 month secondment for a full time Management Coordinator to work in this varied and interesting role within the Children, Families & Learning Leadership Business Support Team.
£27,641 per annum (pro-rata for 3 months) for 36 hours per week based initially at home / County Hall, Penrhyn Road, Kingston-upon-Thames.
About the role
The Children, Families and Learning Directorate provides a range of highly specialist services to vulnerable children and young people. Services are delivered directly to children and their families within extensive statutory frameworks. Our administration team supports the senior leadership (Directors and Assistant Directors) based at County Hall, ensuring the provision of effective and efficient business support functions for and within the team.
You will work with a Director to undertake personal assistant tasks to ensure they are supported on a daily basis to achieve their priorities. This will include diary coordination, organising meetings, proactive management of correspondence and emails and forward planning. You will work closely with Assistant Directors within the Division as well as with other Management Coordinators and designated Senior Team Administrators to ensure robust support is in place.
You will be highly organised and willing to take responsibility and use initiative as well as comfortable in setting your own priorities and meeting deadlines. You will make sure that everything is in place to guarantee that all runs smoothly for the processes and managers you support.
Excellent interpersonal skills are essential along with a high level of written and oral communication skills. You will have experience of working with highly confidential information in a customer focused environment and have the ability to work under pressure and to tight deadlines. You will also be required to work with a variety of different internal departments and other external organisations and agencies.
We are looking for someone who:
- has a solid background in administration / Personal Assistant experience
- has experience of working in a busy office environment
- has excellent customer service and communication skills
- is confident, organised and able to implement a proactive approach to your work
- has excellent IT skills and is proficient in using Microsoft Office
- has a good understanding and knowledge of best practice secretarial and business support processes
- has the personal confidence to handle difficult situations with sensitivity, diplomacy, tact and discretion
- has the ability to plan and prioritise work for self and others in order to achieve targets and deadlines
- has the ability to work effectively under pressure without supervision.
