The Barnet Group is currently seeking to recruit an Executive Assistant with knowledge of Personal Assistant type work and administering boards. The role will report into the Executive Director for Growth and Development and will work closely with the Executive Team.  The role is central to the delivery of excellent governance to The Barnet Group.

You will be responsible for:

  • Management of high-level Board and Committee meetings
  • Minute taking of Board and Committee meetings
  • Take lead responsibility for the production and quality of Board and Committee papers
  • Arrangement and management of board or committee meetings including the production of agendas and papers via Convene
  • Provide a proactive and complete Executive Assistant role to three members of the Executive team
  • Work collaboratively and as a team with your Executive Assistant colleague to ensure all duties are covered, including during periods of absence
  • Arrangement and management of monthly meetings and minute taking
  • Regularly prioritise tasks on behalf of the Executive team, to include leading the response to audit, Board member and Council requirements
  • Manage ad-hoc projects from across the business
  • Provide general administrative assistance to the Executive Team

We are looking for someone who has the following skills and attributes:

  • Excellent Board and/or Committee minute writing skills
  • Experience of working as an E.A. to senior executives
  • Taking ownership of work products, producing quality reports with minimal supervision and re-work
  • Excellent report writing skills, to a Board standard
  • A demonstrably high standard of verbal and written, literacy and numeracy skills
  • In the absence of the Executive, lead the response to the requirements of auditors, Board members and the parent company, delegating tasks to Heads of Service and other colleagues as required
  • Act on the Executive’s behalf to ensure key outputs and reports are produced, e.g. engage with Heads of Service to ensure work is prioritised
  • Exercising discretion and confidentiality with sensitive company information
  • Effective working knowledge of the complexities of the Barnet Group
  • Act as gatekeeper to manage the workload of the Executive team
  • Drafting board reports and legal documents to a professional standard
  • Setting up and running management information systems
  • Coordination of Executive team’s diaries to ensure priorities are delivered
  • Administering formal meetings
  • Dealing with all levels of enquiries from the public and professional bodies, producing draft responses for approval by the Executive
  • Working to rapidly changing deadlines
  • Balancing a range of priorities

Currently the service is located at the Colindale Office.
