More about the role:

This is an exciting opportunity to join a frontline team that strives to put disadvantaged pupils at the centre of their practise. You will be a creative and flexible thinker with excellent communication skills who can function both independently as well as part of a collaborative team. You will be expected to liaise with a variety of stakeholders on a daily basis, work methodically and understand the importance of task prioritisation.

 

Your job will be to support both the day to day school operation of Jigsaw – both the Primary Outreach Support Service as well as the In reach team. This includes all duties pertaining to this as well as providing administrative support to the In reach and outreach leads and other team members.

 

The Jigsaw Team are tasked with supporting children, schools and families in the area of Social, Emotional and Mental Health difficulties; they strive to ensure that inclusion remains at the heart of the Local authority’s ethos and endeavours to support all stakeholders with the necessary guidance and training. This administrative role will put you at the heart of a team who will, together, help you explore your ‘greatness’.

 

Key elements of the role are as follows:

 

  • Provide 1st line support via the Jigsaw phone and email to all stakeholders, parents, schools, CBC colleagues and other agencies.

 

  • Provide 1st line quality assurance to CBC schools to ensure the referrals are completed correctly and relevant required supporting paperwork is submitted accordingly.

 

  • Collating relevant Jigsaw data and contacting other agencies /schools where necessary to ask about referring to Jigsaw as well as keeping a track on this information (Good working Knowledge of EXCEL)

 

  • Be involved with team Finance, raising Purchase Orders in accordance with CBC guidelines, resolving all invoicing and purchase order queries. A good knowledge of the SAP/SRM system will be highly desirable.

 

  • Provide basic ICT support to all members of the Team

 

  • Ensure all staff members have access to the correct equipment and programs where necessary

 

  • Arranging transport for In Reach children, and problem solving where there is a breakdown with these arrangements

 

  • Cataloguing, preparation of, issuing and maintaining materials and equipment as required and undertaking regular stocktaking of items held

 

  • Taking minutes of meetings, as required

 

  • Maintain information systems and input pupil data into school managements system

 

You will be educated to GCSE grade A-C or equivalent in English Language and Mathematics

 

You will have a proven experience of working within an office environment, ideally within a school. You will have experience of creating and maintaining electronic record keeping and databases, experience and a proven level of competence in both Word and Excel plus a substantial working knowledge of office work including the use of office equipment, photocopier, scanner, telephone, fax machine and email.
