Housing IT System Support Officer

The role

This is an exciting time to join the Housing Service at Gravesham as it embarks on a programme of change, aspiring to provide the best possible service for our tenants. The Housing IT Systems Administration role is integral to providing support and IT capability to staff across housing to deliver exceptional frontline services.

Job Summary

To effectively manage, control and administer all IT systems within Housing Department.

To work alongside the Housing IT Systems Manager in supporting and implementing the strategic aims and business development of the service.

To work alongside all areas of the business to improve services, processes and systems to achieve increased efficiencies, savings and income.

To work collaboratively with various managers across housing to ensure they have the relevant performance data and business intelligence reporting to deliver the services in the most effective and efficient way.

Embracing and driving a continuous performance culture, using performance data to identify where changes could benefit the customer and business

Main responsibilities

Maintain system security, control of users, user log, access and permissions to all systems.

Track and maintain software licence control for all users, maintain licence log and advise departments when extra licences will be required.

To report system errors, faults and system monitoring. To log and report software errors and report to the relevant system provider(s). Downloading responses, correcting errors, system faults and general co-ordination.

Respond to user errors on a daily basis on applications. Where possible to correct the error or report to system provider if appropriate, for resolution.

Co-ordinate software releases and prepare testing plans for consultation.

Ensure any new release is updated to users.  Depending on the complexity this may involve a simple rollout, a short explanation note or some training.

Provide updates to user manuals, release notes and any other guide with the maintenance of one hard copy. Where necessary ensure that all Managers have software release information for daily administration of the system.

Evaluate and recommend improvements to the use of the IT systems for the efficiency of the Housing Department.

Reporting performance information for all areas Housing.

Analyse data held on our systems and highlighting any themes to provide Business Intelligence where services or performance could be improved.

Work collaboratively with teams to ensure we are capturing all performance data across the business to continuously improve service delivery.

Provide performance information on contractors so we ensure we are complaint and achieving service level targets and agreed performance indicators.

Essential qualifications/experience-

Excellent written, verbal and interpersonal communication skills required for dealing with a range of personnel including colleagues, customers, members and contractors.

IT literate including Word, Excel, internet and databases.  Proven ability to adapt, learn and develop new IT packages and systems quickly.

Demonstrable ability to produce and present information in a range of formats – presentations, reports, business cases and proposals.

Demonstrable ability to produce, interrogate and report statistical information as required, use or BI would be advantageous.

Demonstrable ability to make decisions

Excellent team player, with enthusiasm for change and development.

Experience in a Local Authority

Previous System Administrator experience

Software systems/ data management

Experience of process improvement

Experience of translating performance data into meaningful insights and actions
