Job summary

The Accommodation Coordinator (Accom Coord) is a key member of the Accommodation Cell, reporting to the Accommodation Manager (Accom Mgr). The role is responsible for the efficient coordination and management of Single Living Accommodation (SLA) at Chicksands, ensuring compliance with policies and regulations. The Accom Coord supports the Academy Support Unit (ASU) in delivering essential services to the Defence Intelligence Academy (DefIntAc) and the wider Chicksands site, enabling effective training and operational outputs.

Key responsibilities include managing SLA allocations, maintaining accurate records, overseeing move-in/move-out processes, and liaising with stakeholders across the Armed Forces and Civil Service. The role also involves monitoring accommodation faults, ensuring timely repairs, and escalating unresolved issues. The Accom Coord must demonstrate strong organisational and communication skills, attention to detail, and a proactive approach to problem-solving.

This position is critical to the smooth functioning of the Accommodation Cell and the ASU, ensuring SLA is managed efficiently to meet operational and training needs. The Accom Coord also supports additional tasks, such as managing the Accommodation Cell inbox, conducting assurance checks, and providing cover for colleagues or deputising for the Accommodation Manager when required.

Job description

The Accommodation Coordinator plays a vital role in the Accommodation Cell, ensuring the efficient coordination and management of Single Living Accommodation (SLA) at Chicksands. The role supports the Academy Support Unit (ASU) in delivering essential services to the Defence Intelligence Academy (DefIntAc) and the wider Chicksands site.

Main Responsibilities:

  • Manage the day-to-day operations of SLA, including scheduling, planning, and allocation.
  • Update and maintain the Single Living Accommodation Management Information System (SLAMIS).
  • Prepare arrival paperwork and issue room keys for allocated SLA.
  • Oversee move-in/move-out processes for Junior Non-Commissioned Officers (JNCOs) in permanent accommodation.
  • Liaise with Officers’ and Sergeants’ Mess receptionists to monitor SLA requirements and plan allocations.
  • Manage and maintain both paper and electronic filing systems, ensuring records are accurate and accessible.
  • Report and monitor accommodation faults with the Regional Prime Contractor (RPC), escalating unresolved issues.
  • Represent the Accommodation Cell in interactions with internal and external stakeholders.
  • Support march-in and march-out activities for military personnel and entitled Civil Servants.
  • Conduct assurance checks on SLA to ensure compliance with required standards.
  • Manage the Accommodation Cell group email inbox, ensuring timely responses.
  • Undertake tasks as directed by the Accommodation Manager to support ASU and DefIntAc priorities.
  • Provide cover for equivalent roles within the Accommodation Cell and deputise for the Accommodation Manager when required.

Person specification

This role requires strong organisational skills, attention to detail, and the ability to communicate effectively with a range of stakeholders. Experience of working in a busy office environment, with changing priorities whilst also dealing with customers in person is a desirable/essential quality.

Essential criteria:

The ideal candidate will have good communication skills both written and oral and good IT skills including the use and understanding of Microsoft applications especially Word, Excel and 0365.

Where business needs allow, some roles may be suitable for a combination of office and working from home as part of a non-contractual hybrid working arrangement. All office-based employees will be expected to spend a minimum of 60% of their working time in office, subject to site capacity and any required workplace adjustments. Requirements to attend other locations for official business, or work in another MOD workplace, will also count towards this level of office attendance.
