As well as providing business and administrative support will support the delivery of community events, projects, and activities. Your day as a Duty Operations Assistant will consist of making regular visits to your allocated sites within your patch to attend health & safety visits, committee meetings and events as well as meet with partners and prospective hirers.

This is a mobile role. Whilst you will have a base at one of our Peabody Offices there will be regular site visits across your designated area at a variety of times.

You will play a crucial role in ensuring that our community spaces are vibrant, safe, and accessible, supporting a wide range of activities for residents. You will be a friendly face while supporting management committees who are running these community buildings, you will provide administrative support and training to committees, assisting with bookings, processing invoices, and purchasing requests, along with bi-weekly facilities check visits, raising of repairs & working with both internal and external partners to help activate these community spaces

What you’ll do

Be responsible for up to 11 sites, carrying out bi-weekly visits, Health and Safety Checks and attending meetings. Reporting and following up of repairs. Attend meetings and events outside core working hours. Build positive relationships with communities, partners and hirers and work with local partners to activate sites and bring in new business.

Provide in house training and support to Management Committees to assist them to meet Health and Safety and Due Diligence standards. Offer administrative support to the community properties team and your committees by assisting with booking requests, updating databases, ordering consumables, liaising with suppliers; collating customer feedback, coordinating diaries

Provide excellent customer service to customers, colleagues and committees responding to incoming calls and emails politely and efficiently to ensure that queries are dealt with effectively with written correspondence to a high level of accuracy

You will assist colleagues in collating and analysing data to illustrate the impact of our work in quarterly reports, case studies and through media content.

You will Prompt, proactive and accountable. A highly organised, motivated and enthusiastic individual who is able to solve problems and able to identify ways to improve administrative processes. What you’ll need

  • Demonstrable experience in a similar role, or in an administrative/ facilities position. With strong organisational skills and the ability to effectively prioritise work
  • Demonstrable experience in managing data accurately and efficiently. Prior use of IT systems, including Microsoft Office,
  • Proven experience in customer service, administration and health & safety in the workplace.
  • Comfortable communicating with a wide range of audiences in a busy, people-focused environment.
  • Great interpersonal skills with the ability to communicate effectively with customers, colleagues, and stakeholders.
  • Work flexibly across multiple sites including availability to work some evenings and weekends to fit with the needs of the business.
  • Proactive, well-organised, and take pride in providing excellent customer service.
  • Understanding of Health and Safety and previous experience on keeping an environment clear from hazards.
  • Compassion, patience, and the ability to adapt to different situations.
  • Strong attention to detail, and able to work within policy and procedural guidelines.
  • An understanding of the importance of confidentiality and data protection.
  • A strong commitment to the principles of equality, diversity, and inclusion.
  • The ability to be able to travel to multiple sites.
