Job summary

We are currently looking for a Learning & Development Coordinator to join our People Functionwithin the Corporate Group.

This is a full-time opportunity, on a permanent basis. The role will be based in 10 South Colonnade, Canary Wharf London, E14 4PU.

Government departments and agencies are working towards implementing a minimum 60% attendance in office sites.

We are currently implementing a flexible, hybrid way of working, with a minimum of 8 days per month working on site to enable the collaboration and contact with partners and stakeholders needed to deliver MHRA business. Attendance on site is driven by business needs so depending on the nature of the role, this can flex up to 12 days a month, with the remainder of time worked either remotely or in the office. Some roles will need to be on site more regularly. Remote working is potentially available for some specific roles. Please discuss this with the recruiting manager before accepting an appointment.

Who are we?

The Medicines and Healthcare products Regulatory Agency enhances and improves the health of millions of people every day through the effective regulation of medicines and medical devices, underpinned by science and research.

The People function is part of the Corporate Group, along with Finance, Commercial and Infrastructure and Laboratory Services functions which are led by the Chief Finance Officer. The People function is separately led by the Chief People Officer, who is a member of the Unitary Board.

Job description

Role Purpose

The role sits within the MHRA Academy team and will report to the Academy Lead. The Academy is a new initiative aiming to set standards for MHRA Regulatory training and qualification and ensure that the learning and development provided to key front-line colleagues is of the highest quality, enabling colleagues to meet our exacting standards of performance as quickly as possible.

This is a new and pivotal role within the Academy, providing comprehensive operational and business administrative support to ensure that all projects related to the successful design, implementation, and delivery of the Academy curriculum are delivered on time. The postholder will work closely with the Academy Curriculum Manager, Accreditation Standards colleagues, and the Learning Management System (LMS) implementation team.

You will act as a key enabler for operational excellence by providing structured project support including the tracking of projects, activities and deliverables across the streams of work in the academy as well as developing risk registers. You will play a key role in governance of the work streams and work with stakeholders throughout the process to support the business in ensuring the agreed project outputs are delivered, timelines are met, and outputs are quality-assured. You will bring together the multiple strands of work that support the Academy’s delivery, ensuring that operational, administrative, and strategic planning elements are effectively aligned and managed.

Key Responsibilities

Project Planning & Coordination

  • Support all academy project management activities including the development and maintenance of project plans, progress tracking, coordinating completion of key deliverables, stakeholder management, organisation and prioritisation of key actions ensuring the alignment of curriculum development and delivery across assessor and inspector streams.
  • Monitor progress against key milestones and deliverables, escalating risks and issues as needed, and implementing mitigating actions where appropriate.
  • Work with stakeholders to scope new curriculum areas, identify interdependencies, and support the phased rollout of learning products and standards.

Business and Administrative Support

  • Provide secretariat support for Academy working groups and governance forums, including agenda planning, minute-taking, and action tracking.
  • Follow up on agreed actions from meetings, to ensure outputs and progress from meetings are implemented.
  • Support the development and maintenance of Academy-related policies, procedures, standards, and guidance documentation.
  • Maintain an organised system for tracking Academy documentation, outputs, and correspondence.

Stakeholder Engagement

  • Act as the central coordination point for internal and external Academy stakeholders, including HR, operational teams, external accreditation bodies, and learning providers.
  • Prepare professional, audience-tailored presentations, briefings, and meeting packs to support engagement and communication.

Communications and Knowledge Management

  • Draft and disseminate communications to promote the Academy's work, including internal newsletters, updates, and campaign material.
  • Oversee content updates and knowledge sharing through internal platforms (e.g., INsite), ensuring materials are accurate, engaging, and accessible.
  • Manage the Academy inbox, triaging queries and ensuring timely and effective responses

Operational Oversight

  • Coordinate the end-to-end delivery of curriculum content, including scheduling design, development, QA, deployment and delivery across multiple streams.
  • Oversee operational readiness for curriculum delivery, including instructor resourcing, system readiness (e.g., LMS configurations), and documentation.
  • Support the coordination of external suppliers or consultants involved in delivering training or content development.

Data Management and Reporting

  • Collate, analyse, and interpret learning and performance data from multiple sources, including the LMS, to support continuous improvement and inform strategic decision-making.
  • Prepare high-quality dashboards, reports, and updates for Academy governance boards, senior leaders, and other internal/external stakeholders

Learning Management System (LMS) Support

  • Work with the Curriculum Manager to utilise LMS functionality for enrolment, learning journeys, nudges, and progress tracking.
  • Support testing, configuration, and continuous improvement of LMS features to ensure an optimal learner experience.
  • Ensure learning records are accurate and aligned with curriculum requirements, supporting compliance and evaluation.

Person specification

Essential Criteria:

  • Experience of successfully managing competing different projects within the same time frame to deliver on shared objectives
  • Experience of using a Learning Management System
  • A formal project management qualification (Desirable)

Benefits

What will the process look like?
