Job summary

This is a rare opportunity to support UK overseas operations and contribute to ensuring personnel are safe when deployed. The working environment is dynamic and and provides the opportunity to work with highly capable colleagues in a role where no 2 days are the same. The PJHQ J3 Op Safety Coordinator is the first point of contact for Operational Safety requests for information from personnel deployed on overseas operations, and is responsible for providing effective safety related guidance and support to other members of the the PJHQ Op Safety Team and deployed Op Safety Focal Points. The post holder operates in support of the PJHQ Chief Environment and Safety Officer (CESO), to ensure a coherent approach is taken to information management, including the efficient delivery and continuous improvement of PJHQ Operational Safety Policy and Assurance activity in full compliance with UK Health and Safety Legislation and Defence Policy.

The post holder is required to hold Developed Vetting (DV) status or being willing to undergo the process to become DV.

This position is advertised at 37 hours per week.

Job description

Manage and co-ordinate the PJHQ incident reporting system including analysis of trends and liaison with relevant stakeholders (Cyber and Special Operations Command (CSOC), Defence Accident Investigation Branch (DAIB), Single Service Safety Centres).

Attend pre-Commanders Update Brief (CUB), presenting incident data and provide advice and information as required to ensure

Manage all aspects of the planning and coordination of the risk based CJO Op Safety Assurance programme, liaising with all relevant stakeholders (Ops Teams, Deployed Commanders, sS J8 and their representatives) to ensure it is delivered in line with specified timelines and subsequently Co-ordinate and track post assurance visit reports and action plans using the associated databases.

Ensure that Level 1 in Th assurance checklists are received quarterly, issuing calling notices within good time and recording returns on the tracker, providing feedback to Th Commanders / Op Safety Focal Points as required.

Provide advice and guidance to deployed personnel in relation to operational safety and act as focal point for the J3 Operational Safety Team, providing continuity whilst other team members are deployed overseas on assurance visits.

Attend regular briefs on behalf of Chief Environment and Safety Officer (CESO) and ensure that information is relayed accurately.

Manage the Fire Action Plan database relating to the statutory Fire Risk Assessments that are carried out in Th. Ensure updates are requested and received, elevating issues to CESO CJO and the OSTs Fire SME.

Produce and distribute a bi-monthly operational safety newsletter for location Op Safety Focal Points to ensure that relevant safety information and campaigns are communicated.

Co-ordinate and support delivery of Governance and Assurance returns to stakeholders (TLB, Regulators, DSA, DAIB). Support CESO and SO3 Op Safety with updating the Risk Management Boards, ensuring that current issues are adequately recorded. Ensure that STRATCOMS requests for information are submitted by the deadline and assist in the preparation of HS and EP documentation.

Co-ordinate the development, maintenance, and delivery of Op safety SOPs.

Co-ordinate and disseminate Safety Notices issued by safety authorities (TLB, sS, DSA, DAIB) and maintain the Op Safety information stream to Op Safety Focal Points across the Joint Operational Area.

Manage all aspects of mandated Pre-Deployment Safety training for both SME and non-specialist safety related courses iaw the Op Theatre requirements liaising with all relevant stakeholders (students, TLB, TRA and course delivery) ensuring delivery is within defined timelines and subsequently recorded. Provide advice and guidance to deploying personnel on safety training requirements.

Provide support in the development of briefing papers for the DSEC, FSG, FDG, UKStratCom 4* Safety Committee and TLB Working Group.

Provide support with Service Inquiries, Non-Statutory Inquiries, Coroners Inquiries and Defence Accident Incident Branch investigations.

Person specification

Highly motivated with inquisitive mindset, capable of communicating at all levels with confidence

Independent working/thinking - demonstrate the ability to work independently, problem solve, co-ordinate work and build networks.

MS Office Suite competent

Proficient in analysing and presenting key information both orally and documented format

Able to deal with problems in a calm and efficient manner

Hold DV or be willing to undergo the procedure to secure DV

Willing and physically capable of travelling to overseas operational locations

NEBOSH Certificate in Occupational Health and Safety or willingness to achieve the qualification within 12 months of employment start date (Funding will be provided for this training)
