Job description
About the Knowledge & Innovation(K&I) Division
The work of the K&I Division is core to all our legal work in GLD. We equip government lawyers with the relevant knowledge, skills and systems to provide excellent and efficient legal services to ministers and officials.
The K&I Division is a multi-disciplinary team, that provides a portfolio of services spanning Knowledge (incorporating Legal Information, Knowledge Systems and Knowledge Communities & Projects), Legal Learning and Innovation.
Sitting at the heart of the Government Legal Department, we connect lawyers, support legal communities and facilitate sharing of knowledge and collaboration across government.
We drive innovation to improve legal processes and create new services, including introducing new legal technologies such as artificial intelligence and developing lawyers' capability to maximise the benefits of these technologies.
We support our lawyers’ professional development at every stage of their careers through an extensive programme of learning opportunities.

About the Role
Reporting to the Engagement & Reporting Manager and working with a team providing project support, communications & engagement and secretariat services to colleagues across K&I.
Key responsibilities include:
- Provide administrative support and ad hoc duties (consistent with the grade) to project managers, the wider Knowledge & Innovation team and divisional senior leaders.
- Management of shared mailboxes.
- Organise events and meetings, and provide an efficient secretariat function, including drafting agendas, compiling papers and taking minutes.
- Create and maintain accurate records, such as stakeholder lists, plans and actions logs to support projects and BAU activities.
- Assist with project and activity planning, researching options, progress tracking and reporting.
- Supporting colleagues across the K&I division where required with the design, production, and delivery of communications plans for K&I projects, core business activity and communities.
- Support the Engagement & Reporting Manager to develop and deliver the division’s engagement strategy by assisting with content for GLD’s information channels such as Eagle and TWIB and helping to organise events.
- Draft articles and work with GLD Communications & Engagement Team to publish content which informs GLD colleagues about the work of K&I and which showcases the division’s projects.
- Assisting with the curation of K&I’s team SharePoint home page and editorial responsibility for K&I standard content on GLD’s internal intranet (Eagle).
- Information Management, such as maintaining Teams/SharePoint Folders.
- Support the wider Central Services Team by assisting with temporary cover for other project support or Business Management colleagues (consistent with grade).
- Support the culture of the division by assisting with, and contributing to, team meetings, development days, events and internal communications.
- Undertaking all mandatory and relevant training.

Security Clearance Level

Visa sponsorship will not be given to candidates except where they are existing civil servants employed by GLD, who meet the HO/UKVI requirements for sponsorship. Selection Process
After the closing date, the appointing panel shall assess candidates’ suitability for the role based on evidence provided in their application against the Behaviours, Experience and Technical Skills outlined in the person specification.
STAGED-SIFT : If there are a large number of applications the panel will conduct a staged sift. The initial sift will be on CV alone. If you meet the minimum criteria for the CV, you will then go to the full sift on the Statement of Suitability and lead behaviour, Managing a Quality Service.
In the eventuality that there are a high number of applicants successful at sift, GLD may operate a longlist, whereby applicants who have been shortlisted and met the minimum pass mark but are not selected for interview will have their application placed on hold. After the initial interview round candidates on the longlist may be offered an interview, should there still be posts available.
