SEND Administrative Assistant
WHITEGROVE PRIMARY SCHOOL
SEND Administrative Assistant Fixed Term – 1 Year
Whitegrove Primary School is a happy, inclusive and ambitious school where every child is encouraged to learn, grow and thrive. We are looking for an exceptionally organised, caring and proactive SEND Administrative Assistant to join our team and play an important role in supporting our provision for children with Special Educational Needs and Disabilities.
This is much more than a general administrative position. You will work closely with our SENDCo, School Business Manager, teaching staff, families, the Local Authority and external professionals to help ensure that children with additional needs receive well-coordinated and timely support.
At Whitegrove, we believe that every child matters and that the right support, provided at the right time, can make an enormous difference. We are therefore looking for someone who shares our commitment to inclusion and who takes genuine pride in providing an organised, compassionate and professional service to children and their families.
About the role
No two days are likely to be exactly the same. You will become a key administrative point of support for our SEND provision, helping to keep information, meetings, referrals, reviews and statutory processes organised and on track.
- Provide comprehensive administrative support to the SENDCo and wider SEND team.
- Maintain accurate SEND records and support the administration of the school SEND register.
- Support Education, Health and Care Plan (EHCP) processes, including annual and interim reviews.
- Coordinate meetings, appointments and professional visits.
- Prepare invitations, reports, paperwork and supporting documentation.
- Take accurate notes or minutes and follow up agreed actions.
- Maintain effective systems to track statutory deadlines, referrals, assessments and reviews.
- Support referrals to the Local Authority and external services.
- Collate information and reports from teachers, support staff and other professionals.
- Communicate sensitively and professionally with parents and carers.
- Support the administration and tracking of SEND funding and provision.
- Assist with transition arrangements for children joining or leaving Whitegrove.
- Ensure sensitive and confidential information is handled accurately and securely.
Who we are looking for
You do not need to be a SEND specialist to apply. Previous SEND or school experience would be an advantage, but equally important are your organisation, accuracy, communication skills and willingness to learn.
- Strong administrative and IT skills, with excellent attention to detail.
- The ability to organise a busy workload, prioritise effectively and meet deadlines.
- Excellent written and verbal communication skills.
- A sensitive, professional and compassionate approach when working with families.
- The ability to maintain strict confidentiality and handle sensitive information appropriately.
- Confidence to work independently, use initiative and contribute positively to a team.
- The ability to remain calm and effective when managing competing priorities.
- An understanding of safeguarding responsibilities within a school environment, or willingness to develop this quickly.
- A genuine commitment to inclusion and improving outcomes for children with SEND.
Experience of EHCPs, annual reviews, school information systems, the SEND Code of Practice, or working with Local Authority and professional services would be welcomed, but these are not essential requirements for the right candidate.
Why Whitegrove?
Whitegrove is a warm and welcoming primary school situated in Warfield on the leafy eastern edge of Bracknell. Our children are at the heart of everything we do. We have high expectations, but we are equally passionate about inclusion, wellbeing and creating an environment in which children feel safe, valued and able to succeed.
Joining Whitegrove means becoming part of a friendly school community where colleagues work together and where the contribution of our support staff is genuinely valued.
- A welcoming, friendly and supportive staff team.
- A role where your work will have a genuine impact on children and families.
- Close working relationships with our SENDCo, School Business Manager and wider school team.
- Opportunities to develop your knowledge and experience of SEND and school administration.
- Training and professional development relevant to the role.
- A varied role with the opportunity to take ownership of administrative systems and processes.
- A term-time working pattern.
- The opportunity to become part of the wider Whitegrove family.
The appointment will initially be made on a fixed-term basis for one year. The precise 20-hour working pattern will be discussed and agreed with the successful candidate.
