The post holder is responsible for managing the statutory compliance of over 100 landlord-only buildings, liaising closely with the Corporate Estates Management team and the Landlords to obtain compliance documents such as Fire Risk Assessments, Fire Alarm Maintenance and Emergency Light Testing.

Job description

We are seeking a proactive professional to carry out Health & Safety risk assessment visits where documentation is missing or issues are identified. You will maintain statutory compliance records, manage building documentation on SharePoint, and support compliance visits across the estate, addressing on-site H&S concerns under the Mitie contract.

Your responsibilities will include, but aren’t limited to:

  • Manage a regional programme of Landlord compliance visits as agreed with line management.
  • Escalation to Line Management following compliance visits or queries in relation to the Landlord lease obligations.
  • Day to day liaison with Estates and Operational colleagues to ensure contract compliance.
  • Assist with compliance visits relating to H&S compliance to DVSA sites under the Mitie contract.
  • Assisting with the TFM Contract Inbox when Distribution and tracking of contract issues to other HEOs in the team.
  • Manage the TFM statutory tracker to include all Landlord property.
  • Drafting of Service Manager Instructions, contractual communications under CEMAR.
  • Responsibility for working with stakeholders to confirm associated services required for opening and closing of sites.

Person specification

To be successful in this role you will need to have the following experience:

  • Excellent customer service and communication skills – Able to build positive working relationships with clients, contractors, and stakeholders, communicating clearly and professionally both verbally and in writing. Confident in handling queries, managing expectations, and resolving issues effectively.
  • Strong time management and organisational skills – Capable of prioritising a varied workload, meeting deadlines, and managing multiple site visits and compliance tasks efficiently with minimal supervision.
  • Sound Health & Safety knowledge – Good understanding of current H&S legislation and best practice, with the ability to identify risks, carry out assessments, and ensure compliance across property portfolios.
  • Proactive, “can do” attitude – Self-motivated and solution-focused, willing to take ownership of tasks and respond positively to challenges in a fast-paced environment.
  • Willingness to travel and stay overnight – Flexible approach to travel, including regular site visits and occasional overnight stays as required by the role.
  • Full UK driving licence – Essential for travelling independently between multiple sites.
  • Property knowledge – Working understanding of property management, building compliance requirements, and estate operations, with the ability to apply this knowledge in practical site-based scenarios.

Essential Requirements and Qualifications

  • Knowledge of NEC4 Term Service Contract
  • Willingness to work towards IWFM (BIFM qualification)
  • Willingness to work towards IOSH
  • Willingness to work towards NEBOSH within the first year

Working hours, office attendance and travel requirements

Full time roles consist of 37 hours per week.

Whilst we welcome applications from those looking to work with us on a part time basis, there is a business requirement for the successful candidate to be able to work at least 30 hours per week.

This role is suitable for hybrid working, which is a non-contractual arrangement where a combination of workplace and home-based working can be accommodated subject to business requirements.

The expectation at present is a minimum of 60% of your working time a month will be spent at either your designated workplace (one of the locations cited in the advert) or, when required for business reasons, in another office/work location/visiting stakeholders. Your designated workplace will be your contractual place of work. There may be occasions where you are required to attend above the minimum expectation.

Pre-employment Checking
