    Job introduction

    Job title: Conference Assistant

    A bit about us:

Liverpool City Region Destination Partnership (LCRDP) is the Local Visitor Economy Partnership (LVEP) for Liverpool City Region. Owned by Liverpool City Council and the Liverpool City Region Combined Authority, LCRDP leads the promotion of the City Region as a destination to attract visitors.

Working with partners across business, academia, culture and communities, we champion Liverpool City Region as a leading place to live, work, visit, meet, invest and study. The City Region is internationally recognised for its sector expertise, innovation and strong track record of hosting high-impact business events.

Liverpool Convention Bureau, part of LCRDP, leads on attracting national and international conferences, and meetings and events which drive economic growth, profile and deliver long-term legacy for the City Region.

We are seeking a proactive, organised and customer-focused Conference Assistant to support the delivery of Liverpool Convention Bureau's services. Working closely with conference organisers, venues, hotels, universities and industry partners, you will play an important role in helping attract and convert business events into the Liverpool City Region.

This is an exciting opportunity for someone who enjoys building relationships, delivering excellent customer service and working in a fast-paced environment. You will contribute to lead generation, proposal development, client engagement and event support activities, helping to strengthen Liverpool City Region's position as a leading destination for conferences and business events.

    The role:

As Conference Assistant, you will support the Convention Bureau Manager in delivering both proactive and reactive sales and client services, helping to secure conferences and business events for the Liverpool City Region. You will manage enquiries coming into the team through the CRM system, coordinate proposals, maintain partner and stakeholder relationships, and provide administrative and operational support across the team.

You will work closely with venues, accommodation providers, suppliers and clients to ensure enquiries are managed efficiently and opportunities are progressed from initial lead through to conversion. You will also support site visits, trade shows, networking events and wider Convention Bureau activity that contributes to growth in the business events sector.

This is a hands-on role within a dynamic and ambitious team where attention to detail, strong organisation skills and a proactive approach are essential. You will help deliver an outstanding client experience while supporting the Convention Bureau's ambitions to grow market share and strengthen Liverpool City Region's reputation as a world-class conference destination.

    Key responsibilities include:

    • Support the delivery of Liverpool Convention Bureau's proactive and reactive services, helping to grow market share and secure conference business for the destination
    • Manage enquiries from lead to conversion through the CRM system, ensuring accurate records, timely follow-up and excellent customer service
    • Obtain quotes and proposals from venues, hotels and suppliers, producing professional and compelling proposals and responses to client enquiries
    • Maintain accurate client, partner and stakeholder databases, recording activity and engagement through CRM systems
    • Support the development and maintenance of strong relationships with venues, accommodation providers, suppliers and other Convention Bureau partners
    • Assist with the preparation of sales proposals, presentations and pitch materials tailored to client requirements
    • Organise and support destination site visits, venue inspections and familiarisation programmes for event organisers
    • Represent Liverpool Convention Bureau at trade shows, networking and industry events as required
    • Monitor enquiry activity and support reporting on performance, conversion rates and sales outcomes
    • Assist with commission invoicing processes and help ensure partner income is invoiced and received in a timely manner
    • Support the International Bidding Manager and Club Liverpool Manager with conference bids, research, quotes and stakeholder engagement
    • Provide administrative support across the team, including organising meetings, preparing reports and supporting marketing activity
    • Proactively manage incoming enquiries, monitor and respond to incoming queries via the conference inbox, email and telephone, ensuring prompt and professional responses

This role offers an excellent opportunity for an enthusiastic individual looking to develop a career in business tourism, conferences and destination management while making a direct contribution to the economic success and international profile of Liverpool City Region.

    Our offer to you:

    • At least 27 days holiday, plus bank holidays rising to 32 after 5 years’ service (pro rata if part time) - option to purchase further days
    • Agile working (role dependent) - a “Flexibility First” approach to agile working, where flexibility is the norm rather than the exception
    • Part of the Local Government Pension Scheme – option to join the AVC Scheme
