Job description

About the Legal Operations, Legal Knowledge & Learning Team

The Legal Knowledge and Learning (LKL) Division sits in the Legal Operations Directorate. LKL equips government lawyers with the relevant legal knowledge, skills and tools to provide excellent legal service to ministers and officials - our work is core to all our legal work in GLD.

The LKL Division is a multi-disciplinary team, that provides a portfolio of services spanning:

  • Central Services – incorporating collaboration & engagement, business management & data analysis
  • Knowledge – incorporating Library & Information Services, Central Knowledge Development Lawyers (KDLs) and Knowledge Systems
  • Knowledge Development
  • Legal Learning

Sitting at the heart of the Government Legal Profession, we connect lawyers, support legal communities and facilitate sharing of knowledge and collaboration across government.

We drive innovation to improve legal processes and create new services, including introducing new legal technologies such as artificial intelligence and developing lawyers' capability to maximise the benefits of these technologies.

About the Role

The Role

Reporting to the Collaboration Specialist, the Collaboration & Projects Officer has a key role in supporting and helping to develop GLD’s 9 Knowledge Communities and 20 Centres of Excellence. Key responsibilities include:

  • Collaborate with stakeholders across GLD and wider Government Legal Profession to ensure the effective running of the Knowledge Communities and Centres of Excellence.
  • Organise events and meetings, and provide an efficient secretariat function, including drafting agendas, compiling papers and taking minutes.
  • Create and maintain accurate records, distribution lists, plans and actions logs to support the Knowledge Communities.
  • Supporting the continuous improvement of the Knowledge Communities by reviewing how we engage and work with them and their structure.
  • Management of shared mailboxes and responding to queries, as appropriate.
  • Undertake administration and ad hoc duties to support Knowledge Community chairs, Knowledge Development Lawyers, the wider Knowledge & Innovation team and divisional senior leaders.
  • Support the Collaboration Specialist to draft articles and work with GLD Communications & Engagement Team to publish content which informs GLD colleagues about the work of K&I and which showcases the knowledge communities.
  • Information Management, such as maintaining Teams/SharePoint Folders.
  • Analyse information or data and draft reports tailored to diverse audiences.
  • Assist with project and activity planning, researching options, progress tracking and reporting where appropriate.
  • Support the wider Central Services Team by assisting with temporary cover for other colleagues.
  • Support the culture of the division by assisting with, and contributing to, team meetings, development days, events and internal communications.
  • Undertaking all mandatory and relevant training.

Security Clearance Level

All GLD employees must hold BPSS. In addition to this, those based in our London offices must hold or be willing to obtain CTC level clearance for this role. If London based, you can start your position pending this clearance level, however your appointment will be conditional upon obtaining CTC clearance. Sponsorship and Visas

Visa sponsorship will not be given to candidates except where they are existing civil servants employed by GLD, who meet the HO/UKVI requirements for sponsorship. If you are an existing civil servant employed by GLD who requires sponsorship, you should confirm your eligibility for sponsorship for this role prior to application. Individuals should seek Home Office guidance on how new positions with the organisation impact on changes to sponsorship eligibility.

Candidates with Limited Leave to Remain can apply but must have at least 12 months remaining on an existing visa which allows them to work for GLD when employment commences. Candidates must ensure that their current visa dates cover the entire period of employment or that they are eligible for non-sponsored immigration routes, to allow their employment with GLD to continue for the duration of this role. Selection Process

After the closing date, the appointing panel shall assess candidates’ suitability for the role based on evidence provided in their application against the behaviours and experience outlined in the person specification.

If there are a large number of applications the panel will conduct a staged sift. The initial sift will be on CV. If you meet the minimum criteria for the CV, you will then go to the full sift on the Personal Statement.

In the eventuality that there are a high number of applicants successful at sift, GLD may operate a longlist, whereby applicants who have been shortlisted and met the minimum pass mark but are not selected for interview will have their application placed on hold. After the initial interview round candidates on the longlist may be offered an interview, should there still be posts available.
