    This position reports to the Project Manager - Voids. It has no line management responsibilities.

    The role will predominately be assisting the Project Manager to provide effective administrative and coordination support in the delivery of void property works, ensuring properties are turned around efficiently and in line with organisational lettable standards. The postholder will support surveyors, contractors, and managers by managing workflow, maintaining accurate records, and liaising with internal teams and external partners to ensure void properties are prepared for re-letting within agreed timescales.

    As the Repairs & Voids Coordinator part of the job is to act as the first point of contact for all administrative aspects of void works. Process and maintain accurate records of void properties, including start and completion dates, contractor instructions, progress updates, and costs, this is to be recorded via Northgate and an internal tracking spreadsheet.

    As well as the above we would also expect the postholder to raise and process purchase orders, invoices, and payment requests in line with financial procedures. Liaise with contractors, suppliers, and internal teams to monitor progress and resolve queries. Track and report on the progress of void works, highlighting delays or risks to the Project Manager

    The postholder will also Maintain effective communication with Housing Management teams to ensure properties are ready for re-letting. Undertake general administrative duties, including filing, data entry, document control, and meeting support.

    Strategic Void Management is currently delivering a Void Improvement Plan and several recommendations from a recent void audit this job role will be a key part of this delivery.

    This post will be a lead in reviewing and improving performance relating to the void process ensuring targets are achieved and to take timely and appropriate action where required to maintain agreed standards and best practice

    The post is based at Bridge Road Depot and is not a hybrid role with the post holder having to attend the office three days a week.

    It would be advantageous for the candidate to have knowledge of void processes LBN’s housing stock, have proven administrative experience, ideally within housing, construction, or property services.
