Job Summary:

Are you an organised, detail-focused administrator looking for a rewarding role that supports the safeguarding and wellbeing of children and young people? Ealing Council is seeking a Statutory Checks Records Officer to join our Children’s Services team and play a crucial role in managing statutory information requests and records.

In this varied and fast-paced role, you will coordinate and process statutory requests from organisations including Ofsted, local authorities, fostering and adoption agencies and childminding agencies. You will review archived and current records, identify key information, support social work teams with statutory responses, and ensure all requests are completed accurately and within strict statutory deadlines. You will also contribute to management reporting, maintain data quality, and support compliance with GDPR and information governance requirements.

Key Skills and Experience Required

We are looking for an experienced and motivated individual who can demonstrate:

  • Exceptional attention to detail and the ability to accurately review, analyse and compile information from multiple sources.
  • Strong administrative experience in a busy office environment, with the ability to manage competing priorities and work effectively under pressure.
  • Excellent written and verbal communication skills, with confidence in liaising with colleagues, partner agencies and members of the public.
  • Experience of handling sensitive and confidential information in accordance with GDPR and information governance requirements.
  • Strong analytical skills with experience of checking data quality, interrogating databases, producing reports and identifying key information from complex records.
  • A high level of proficiency in Microsoft Office applications, particularly Word, Excel and Outlook.
  • The ability to work independently, use initiative and contribute effectively as part of a team.
  • Experience of working within established policies, procedures and legislative frameworks.
  • Excellent organisational and time-management skills, with the ability to meet strict statutory deadlines and service targets.
  • Experience coordinating meetings, maintaining records and providing high-quality administrative support services.
  • A commitment to delivering excellent customer service and continuous service improvement.

Working Arrangements

This role operates under a hybrid working model. The successful candidate will be required to work from the office a minimum of two days per week as part of the team's service delivery arrangements.

To support a successful induction and training period, the postholder will be required to attend the office full time during the initial six-week training period, ensuring they can build relationships with colleagues, gain hands-on experience of key systems and processes, and receive appropriate support whilst learning the role.

This requirement reflects the collaborative nature of the role and the need to work closely with Children's Services colleagues, records teams and partner agencies to ensure statutory deadlines are met and high standards of service delivery are maintained.
